Coordinate a business move with the people reopening the space

For an office, shop or other commercial property, identify the person approving the move and the person controlling access at each building. Record the receiving entrance, loading position, security procedure and the rooms where items belong. A downtown shopfront may have a separate delivery door; an office suite may share its lift or corridor with other tenants.

Separate the physical move from technical shutdown and restart. Have your IT provider identify cables, equipment and network dependencies; ask the responsible specialist about any equipment that needs preparation beyond ordinary handling. List files, stock, fixtures and furniture by destination, and agree which group must be available first.

Give the estimator the permitted work window, not only the time the business closes. Arrange a receiver who can check the delivered inventory and authorize placement. If access changes, the decision-maker should be reachable before further handling or waiting is incurred.

IT transport and disconnection are available; arrange reconnection and system startup with your IT team. Crane work is outside our service scope.

Check every doorway, landing and turn

Record the full route from the proposed truck position to the destination room. Include the sidewalk, path, porch steps, landing, doorway and inside turns. Measure the narrowest points against the largest pieces, and photograph the route from more than one direction. A spacious room does not prove that a large sofa or cabinet can reach it.

For a divided house or an upper-floor apartment, establish which door and stair serve your unit. Confirm whether the entry is shared, whether another delivery can occupy it and who can unlock every required door. For a managed property, obtain the receiving hours, lift booking, protection requirements and a contact who can act during the move.

Older features can be important to the property as well as the route. Portsmouth’s historic district design guidelines describe traditional storefronts, doors, porches and residential architecture. If the proposed method depends on altering a railing or opening, have the owner resolve the applicable permission first; historical character is not consent to make an alteration.

We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.

The agreed plan should identify who submits each request, who approves it and which City or building charges apply. An application is one step; the required access and time still need confirmation.

Classify the exact use of the street

Identify a specific truck position and the space needed for unloading and carrying. A private driveway, an ordinary lawful parking space, a blocked lane and a container left in the public way are different arrangements. Property permission does not settle public street requirements.

The Portsmouth Police services page lists a Street Blocking / Parade Permit through the Records Bureau. It states no permit fee and at least ten days before the event. Because the instructions use event language, confirm how they apply to your particular move with Records at 740-354-1311. Do not treat the page as an automatic reservation of any curb space.

The same page directs dumpster permits to Public Service at 740-354-7766. Tell the responsible office whether you propose a truck, a storage pod or a dumpster, with dimensions, dates and the effect on the sidewalk or traffic. Confirm the issuer, fees, notice, signs, pedestrian route and any required police coordination before relying on the position.

Give the mover the issued conditions and the building’s separate receiving instructions. If the position cannot be used, assess a lawful alternative and its carrying distance or revised time before dispatch. Identify dense contents, fragile pieces and items that need individual discussion. Books belong in small book cartons; a larger carton is not a useful way to reduce the number of boxes if it becomes too heavy to handle. Keep one clear packing task at a time, and label cartons by destination room and contents.

Set aside identification, closing documents, medicines, chargers and first-night essentials before work begins. Tell the estimator about unpacking or packaging removal you want included, so those tasks can be discussed with the rest of the scope.

Understand what the estimate is planning

Local moves: estimated hours, not a fixed total

Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.

A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.

Long-distance flat rates: the same scope, the same price

For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.

Two homes with similar floor areas can require different work. A direct driveway entrance differs from a third-floor walk-up reached from a distant curb. Inventory, stairs, carrying distance, packing, large-piece handling, access restrictions and the delivery plan all matter.

Send the same information for both ends and disclose any additional stop or storage need. Identify fees charged by a municipality or building separately from moving services, including who pays them. Ask how waiting, a changed inventory or a revised destination would affect the agreed scope. Resolve these questions before the move is underway.

Review the scope, dates and protection choices

Dedicated long-distance moving

Our dedicated long-distance service uses a dedicated truck and delivery, with the same moving crew at pickup and drop-off. Confirm the pickup, delivery and any storage stages in your move plan. The survey and move-planning team performs a separate role from the crew carrying out the move.

Use the estimate review to confirm the addresses, inventory, packing responsibilities, access assumptions and people receiving the shipment. Keep written changes with the moving documents. If the home is not ready, contact the mover before loading to discuss an achievable alternative.

For an interstate move, use the FMCSA consumer guidance to understand the documents and questions to ask. Review protection choices and disclose high-value items in advance. The terms of the selected arrangement, rather than an informal description of coverage, govern the shipment.

Choose protection before the move

Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.

For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Valuation is the mover’s level of liability; it is different from a separate insurance policy. Review the FMCSA explanation of liability and protection and the terms for your particular move.

Prepare the private route as well as the road

Agree who will clear and maintain the driveway, walk, steps and landing before arrival. Wet leaves, a shaded stair or a slope can make the private approach harder to use even when the public road is open. Check drainage and lighting, and tell the mover if the plan depends on a route that may not be usable in the expected conditions.

For river-facing property, do not infer protection from the presence of a wall. The city’s West Front Street statement specifically distinguishes an abandoned retaining wall from its maintained flood-defense system. Resolve property-specific flood and access questions with the owner and Engineering rather than relying on a general description of Portsmouth’s floodwalls.

Let the scope determine the survey

A clear item list may be enough for a small, straightforward job. More belongings, full packing, specialist items or restricted access can call for a video review or an in-person visit. Floor area helps describe the property, but the contents and work matter too.

Start by sending what you know. Our move-planning team will recommend the right level of review so the estimate reflects the job. You do not need to choose a survey method or work out every measurement before contacting us.

The survey helps us choose staffing, time and preparation for the actual job. The person reviewing your move is not necessarily part of the moving crew.

Include photographs of both entrances and the largest pieces, the inventory, building instructions and proposed truck positions. Say what is confirmed and what depends on someone else's decision. A requested utility date or permit application is not yet confirmation.

For Plan B, name the trigger, decision time and person authorized to approve a change. Confirm a later access window, lawful alternative loading position or actual storage availability before relying on it. Account for extra handling or waiting, temporary arrangements for people and pets, and the condition needed to resume delivery. Bring these questions into the estimate discussion while the alternatives remain available.

What should I send for a Portsmouth moving estimate?

Does the street-blocking permit reserve my moving-truck space?

The Police instructions describe an event-related Street Blocking / Parade Permit. Ask Records which approval applies to your exact move and whether signs, traffic controls or another authorization are needed before relying on the curb.

Can I put a storage pod or dumpster beside the home?

Confirm the object, position, dimensions and dates with the property owner and relevant city office. A dumpster permit, ordinary truck parking and a storage pod are not automatically covered by the same permission.

Are basic furniture assembly and packing materials included?

Basic furniture disassembly and reassembly use your moving labor time without a separate basic assembly fee. Moving blankets, shrink wrap and tape have no separate material charge. Boxes are charged separately. Complex furniture and specialist work receive individual quotes.

Can you unpack boxes and remove the packaging?

Furniture is unwrapped as part of delivery. We can also unpack the contents of boxes as optional work charged for time. Packaging and waste removal are charged separately; include the help you want in your request.

What if a large item will not fit through the entrance?

Measure permitted alternatives and discuss the piece before moving day. Have the owner resolve any alteration or access approval before the handling plan depends on removing a railing, door or other feature.

Does a Portsmouth mailing address mean Portsmouth city rules apply?

Confirm the residential parcel and municipality. New Boston, West Portsmouth and nearby Kentucky addresses can involve different authorities even when they form part of the same daily travel area.

What happens if the home is not ready to receive delivery?

Contact the mover before loading or dispatch where possible. Agree on a trigger, decision deadline, authorized person, confirmed alternative and its cost, then record what must happen before delivery resumes.
