Coordinate a business move around reopening

For an office, shop or other business, identify the work that must be complete before staff or customers return. Name the people responsible for equipment shutdown, records, keys, inventory labels and receiving the shipment. A delivery appointment should fit the property’s access rules and the sequence of work inside.

At a downtown building, check the permitted receiving entrance, stairs or service elevator and any shared loading area. An open storefront does not establish that a truck can stand outside it. Send the manager’s instructions with the furniture and equipment inventory, including any limits on hours or protection requirements.

Identify the pieces needed first at the destination and label them accordingly. Assign technical installation, communications and specialist disconnection to the appropriate provider unless expressly included in the moving scope. Agree who can authorize a change if the premises are not ready.

IT transport and disconnection are available; arrange reconnection and system startup with your IT team. Crane work is outside our service scope.

Survey the route from the truck to each room

Older houses require more than a doorway measurement. Follow the path from the proposed truck position over the sidewalk, front steps and porch, then through internal turns and stairs. Include the basement or upper floor when belongings from those spaces are moving. Photograph changes of level and measure the tightest points against the largest furniture.

Where a rear entrance seems easier, establish who owns the approach and whether a vehicle can reach and leave it. An alley is not automatically a loading area. Share its width, surface, turning space and any obstruction with the move-planning team before relying on it.

In an apartment building, obtain the manager’s written moving instructions. Record the access window, elevator dimensions and reservation, loading location, floor protection, insurance-document requirements and any building fee or deposit. Permission to use a route and enough physical clearance are separate checks.

We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.

The agreed plan should identify who submits each request, who approves it and which City or building charges apply. An application is one step; the required access and time still need confirmation.

Confirm the working space with the responsible office

Begin with the exact block, date, expected duration and truck dimensions, including the ramp and working clearance. For an Authority-managed parking location, contact the Altoona Parking Authority to establish whether the proposed space can be used and what arrangement is required. Paying for passenger-car parking does not by itself settle a truck-loading operation.

If the plan affects a street, lane, alley or sidewalk, ask Public Works which office must review it and whether Police approval is needed. The city publishes a contractor/construction street-closure application, but that form does not establish that every household move requires or qualifies for the same procedure. Ask for the applicable process, submission timing, fees and any posting or traffic-control conditions for your particular operation.

A portable container has a separate review. The containerized-storage application asks for the property, a site plan, container details and the owner’s notarized signature. Permission for a container on a lot does not authorize occupation of the curb. Compare estimates using the same assumptions

Local moves: estimated hours, not a fixed total

Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.

A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.

Long-distance flat rates: the same scope, the same price

For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.

The Altoona access review should show where the truck can legally work and how belongings reach it. A short drive can still involve porch steps, an upper-floor apartment or a long carry from the approved location. At delivery, an unavailable entrance or missed elevator window can change the work again.

Check the sequence at both ends: preparation and loading, travel, then entry and delivery. Do not book a receiving window solely around the driving time. The person at the destination should have the keys, understand the room plan and be able to deal with an access problem.

If a lease handover, closing or repair is uncertain, set a decision time before loading begins. A backup may involve another date or an agreed storage and later-delivery stage. Confirm capacity, access, handling and costs with the actual providers before treating that alternative as available.

Choose protection before the move

Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.

For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Recheck the route when conditions change

For a winter move, the city’s winter-weather guidance requires owners to clear snow and ice from sidewalks within 24 hours after the storm. The carrying route may need to be ready much earlier for your appointment. Assign the walk, porch steps and loading area to a named person, then recheck them before the vehicle sets off.

The city also says not to put objects in the public right-of-way to save parking spaces. A chair, cone or box placed outside is not an agreed truck-space procedure. Plowing can change the usable curb even after the street has become passable.

For a campus-related move, obtain the actual housing or building appointment and confirm the municipality. Treat that appointment, the keys and public-space arrangements as separate approvals. If weather or access makes the original plan unusable, contact the decision-maker while a confirmed alternative can still be used.

Make the agreed route and receiving plan usable

Before arrival, finish the agreed packing and clear the furniture route. Keep the property contact, access codes and written instructions available. Mark items staying behind, and tell the crew lead about any change to the shipment or the building since the estimate.

At delivery, have one person direct placement. Simple room labels help when bedrooms or workspaces have similar names. Keep exits and access to essential equipment clear, and keep children and pets away from carrying routes. Do not let an unexpected collection or contractor occupy the truck space at the same time.

Complete the agreed walkthrough while the crew is present: check room placement, reassembly included in the scope and anything that needs recording through the stated process. Unpacking, packaging removal and unwanted furniture should be discussed beforehand. A municipal or private-hauler pickup is a separate arrangement unless particular work has been expressly included.

If the destination cannot receive the shipment, use the agreed contact and fallback. Confirm where people will stay, where belongings can be received and who approves the revised handling. Unloading into an improvised location can create a second move that nobody has arranged.
