Coordinate the shipment with the business
For an office, shop or other workplace, separate furniture and inventory from the systems that must keep operating. Identify records, equipment and stock that need a particular receiving order. Assign the business contact who can authorize placement and answer questions while work is underway.
Confirm the service entrance, any freight lift, dock dimensions and security requirements. A premises facing the pedestrian Downtown Mall needs its actual delivery route established with the property and City; a customer-facing address is not permission to drive up to that door.
Put shutdown, data handling and reconnection with the people responsible for those systems. If staff or customers remain on site, agree how the carrying route will stay separate from ordinary circulation. Restricted hours may require packing and labeling before the main shipment moves.
IT transport and disconnection are available; arrange reconnection and system startup with your IT team. Crane work is outside our service scope.

Measure the full route into the building
Walk from the proposed loading position to the final room. Record pavement changes, porch steps, the usable landing, door width, stair turns and low ceilings. For an apartment, include the route through shared halls and the dimensions of any lift; its visible doorway is only one part of the constraint.
Ask which entrance is authorized and who controls it. Establish when a keyholder or building employee must be present, whether another move uses the same route, and when protection may be installed. A lift booking does not automatically provide exclusive use of the corridor or loading area.
Send clear photographs of difficult turns and large furniture before the estimate is finalized. The owner should approve any removal of doors or other property work. If the allowed window is short, arrange materials and permitted preparation ahead of it, then keep carrying within the agreed period.
We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.
The agreed plan should identify who submits each request, who approves it and which City or building charges apply. An application is one step; the required access and time still need confirmation.

Confirm the street arrangement before moving day
Tell the City whether the operation uses only a lawful parking space, reserves public spaces, affects a sidewalk or occupies a traffic lane. Traffic Engineering reviews temporary closures. The hosted closure application includes vehicles and containers, but the correct permit and documents for your particular move need confirmation.
The posted form uses a one-week application lead and a 48-hour parking-sign period. Treat these as planning requirements to check with Traffic Engineering, not an assurance that a late request can be approved. Agree who applies, pays and arranges the authorized signs.
A residential zone permit does not guarantee a space or reserve a truck position. Overnight staging is another issue: the City lists restricted large vehicles between midnight and 6 a.m., including vehicles with more than two wheels per axle, unless a City permit applies.

Prepare the contents for the next stage
Choose packing help room by room. Separate books, linens, fragile objects and items needing individual review. Keep passports, medication, keys, essential chargers and school or utility documents with you. Label boxes for the receiving room so placement does not depend on opening each one.
Show items that need special preparation before moving day. A large piece may require disassembly, but that decision should follow the actual item and route. Packing a room also includes leaving a clear working area and agreeing what remains in use until departure.

Give the estimate the information it needs
Local moves: estimated hours, not a fixed total
Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.
A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.
Long-distance flat rates: the same scope, the same price
For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.
Use the same inventory and service scope when comparing estimates. Include packing, stairs, basement or attic items, long carrying distances, lift windows and furniture needing a separate handling plan. The price of a home or the number of bedrooms does not describe that work.
Identify storage, special handling and any property or street charges separately. Tell us what remains uncertain: a closing date, a shared entrance, an inactive utility or an unconfirmed loading arrangement. These conditions can affect the sequence even when the shipment itself stays the same.
If the inventory or access changes, update the written scope before the move. Keep the person authorized to approve additional work reachable. A useful estimate makes its assumptions clear enough for both sides to recognize when they have changed.

Use the estimate review to confirm the addresses, inventory, packing responsibilities, access assumptions and people receiving the shipment. Keep written changes with the moving documents. If the home is not ready, contact the mover before loading to discuss an achievable alternative.
For an interstate move, use the FMCSA consumer guidance to understand the documents and questions to ask. Review protection choices and disclose high-value items in advance. The terms of the selected arrangement, rather than an informal description of coverage, govern the shipment.
Choose protection before the move
Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.
For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Prepare for the conditions on your date
Check the approach shortly before the move. The City’s utility-work updates can identify changing access conditions; a published project timetable is not proof that your entrance will be clear. Share an affected block or temporary detour with the crew in advance.
In winter, Charlottesville requires owners and occupants to clear adjoining paved sidewalks within 24 hours after snowfall ends. Use the City’s winter information and arrange the private steps, landing and interior route as well. A deadline does not ensure that the route is usable at your moving time.
For a university-related or managed-property move, use that property’s current instructions and booking window. Do not infer a household move date from an academic calendar or a nearby building.

Furniture or mattresses destined for municipal disposal need their own booking or transport arrangement; leaving them at the curb is not a completion step.

Let the scope determine the survey
A clear item list may be enough for a small, straightforward job. More belongings, full packing, specialist items or restricted access can call for a video review or an in-person visit. Floor area helps describe the property, but the contents and work matter too.

Include photographs of both entrances and the largest pieces, the inventory, building instructions and proposed truck positions. Say what is confirmed and what depends on someone else's decision. A requested utility date or permit application is not yet confirmation.
For Plan B, name the trigger, decision time and person authorized to approve a change. Confirm a later access window, lawful alternative loading position or actual storage availability before relying on it. Account for extra handling or waiting, temporary arrangements for people and pets, and the condition needed to resume delivery. Bring these questions into the estimate discussion while the alternatives remain available.

Does a residential parking permit reserve space for the moving truck?
