Then choose the crew, vehicle and sequence around the inventory, both properties and the people responsible for each stage. A useful estimate covers that whole plan.

Put the business schedule and decision makers into one plan
An office manager may collect quotes while finance approves the budget, department heads decide what stays, the designer sets the layout and building management controls access. Those decisions take time. Give the project one coordinator who can bring them together, while keeping each person's actual responsibility clear. The coordinator does not have to perform every task, but the moving team needs a reliable route for approvals and changes.
Record the last usable working period at the old premises, the first required use of the new space and any dates that cannot move: a lease handover, customer appointment, stock delivery, production commitment or scheduled event. “Move on Friday” leaves important questions unanswered. Identify work that must continue. A customer-support desk may need to stay usable until the final phase; a warehouse may need to keep dispatching selected stock; a restaurant may have one final service before equipment is prepared. Decide which contents leave first and which must arrive first. Loading order and final placement should support that sequence.
Choose the mover against the work you need, including restricted access, systems furniture, heavy equipment, packing and possible return visits. Compare written scopes as well as rates. A low hourly figure is difficult to evaluate when one proposal includes preparation and the other assumes that employees have already completed it. Agree how a delay, unfinished room or changed inventory will be handled before the affected stage begins.
Allocate responsibility before several suppliers arrive
Opening or relocating an office can involve existing furniture, new purchases, leased equipment, network installers and contractors at the same time. Share one current layout and schedule with everyone who needs it. Give desks, departments and receiving rooms stable identifiers so the furniture supplier, movers and IT team do not work from different versions.

Physical transport of computers, monitors, printers and reviewed server equipment can be included. Agree backups, shutdown and the equipment-readiness plan with your IT provider. Sterling can also quote specifically agreed IT disconnection alongside physical transport. Technical reconnection, connectivity and business-system startup must be arranged with the appropriate IT provider. Have that provider define what is ready to pack and how the equipment will be accepted. Delivery to the right desk is one handoff; a functioning business system is another.

For purchased furniture arriving from several vendors, designer and project receiving can help organize agreed receiving, storage and release. For a single collection or the carry after a supplier's delivery, use furniture delivery. The actual collection address, release authorization and supplier appointment still need to be supplied by the customer.
Confirm loading docks, elevators, COIs and union requirements early
Get the moving instructions from both properties before committing the final schedule. Ask which entrance is permitted, what vehicle fits, whether the dock is shared, how the lift is reserved and what protection is required along the route. A dock appointment at pickup does not reserve the receiving dock, and an elevator booking may cover only a limited period.
Send the building's certificate-of-insurance requirements to our planning team early, including the entities and wording management requests. Submission and acceptance are separate steps: someone should confirm that management has accepted the documents and the appointment. Identify the person who can unlock the entrance, authorize security access and resolve a dock or elevator conflict on the day.
Some commercial properties require union labor. Sterling can review and arrange work on union-required properties. Supply the exact building instructions so the proposed crew and documentation can be checked with management. A general service description does not establish approval for every building, and this is not a rule for every Bangor property.
Bangor separates short active loading from a longer working appointment. The parking code includes a conditional fifteen-minute commercial provision on four named downtown streets; it does not reserve a vehicle position for an office move. Split employee packing from company preparation
Employees can often prepare their own desk contents more accurately than a crew sorting a hundred similar workspaces. Arrange carton delivery and instructions ahead of the move, with enough time for people who are away, work different shifts or need approval to handle particular documents. Specify what employees pack and what the moving team prepares.
For illustration, an office might initially allow three to five cartons per person for personal desk contents and agreed accessories. At 100 employees that would mean 300–500 employee cartons before shared supplies, files, furniture or equipment are counted. It is a planning example, not a standard allocation: check what is actually at the desks and revise the quantity accordingly. Company-supplied boxes are charged separately.
Label for the destination. Include the employee or workstation identifier, department and new room or zone. Someone changing teams may have a different destination from the rest of the old department. Keep a person's keyboard, mouse, chargers and agreed accessories grouped with their identifier; do not rely on remembering which of many identical devices belonged together. The business should decide how names, private contents and sensitive labels are handled.
Shared preparation needs its own inventory and time. Empty filing cabinets for the agreed handling method, place files in suitable cartons and preserve the business's filing order. Decide which records must remain available and which must stay with authorized staff. Ordinary file packing does not imply certified secure-records handling, shredding or a data-management service.
Have IT prepare equipment before the crew protects and packs it. List screens, computer units, printers, shared copiers and detached parts separately. Send the model and requirements for large or leased machines. Protect the equipment for the full route, including stairs, loading, restraint and delivery. Decide which cubicles, phone booths and fixtures are worth moving
Workstation systems can be relocated, but their value depends on condition, the new layout and the work required to dismantle and reassemble them. Compare retaining the existing system with supplying new furniture before everything is packed. Missing fittings, damaged connections or a layout that no longer suits the new office can make an apparently inexpensive reuse plan costly.
Send the manufacturer, model, photographs, panel arrangement, connection details and installation instructions. Keep assemblies and fittings identified for their destination. Do not treat systems furniture as a row of ordinary freestanding desks. Herman Miller's assembly guidance directs workstation and systems questions to product-specific instructions and dealer assistance; the actual system governs the method.
Office phone booths and acoustic pods also need model-specific review. Weight, glazing, detachable sections and the route through doors and lifts can determine whether a pod can be moved assembled. Some manufacturers provide a particular relocation kit for certain models: Framery's pod-moving instructions are one example. That does not make the same method suitable for every booth or for loading one onto a truck.
Plan finishing tasks as well. Whiteboards, wall-mounted televisions, pictures and mirrors may need agreed removal and hanging at the destination. Technical connections and any electrical work must be specified separately. A designer or authorized client should approve placement before the work starts. Use permitted work windows to choose the phases
A commercial building may allow packing during office hours but reserve the freight elevator for moves after the working day. Another may allow weekend work or impose a different delivery period. Treat those as property instructions, not a universal commercial schedule. Check the pickup and receiving windows together, including time for travel, unloading and security access.
An illustrative 5 p.m.–midnight carrying window may support only part of a large move. Preparation earlier in the day can help, but the crew still needs a realistic workload and staffing plan. Do not turn a short elevator booking into an assumption that the same people can keep working indefinitely. Several phases or scheduled crews can be more practical than an overfilled night; review availability and charges before relying on them.
Agree a stopping point for each phase. Which rooms must be clear? Which desks must be placed? Which stock must be available? Where can remaining contents safely wait? Set a checkpoint before the next phase so an unfinished floor, missed supplier delivery or changed inventory does not silently disrupt the rest of the plan.
At handover, confirm agreed contents and placement, record exceptions and give the next supplier usable access. Have the IT owner test the systems it is responsible for. An operational target can guide the moving plan, but the mover cannot guarantee the completion of work controlled by other contractors.

The client and workspace operator identify what belongs to the departing team. Personal monitors, files, stock samples and purchased furniture may travel; furnished desks, chairs and shared facilities require the operator's release before removal. Make a retained and move list instead of counting everything inside the office as the customer's shipment. Give the new workplace room and workstation identifiers, plus a layout approved by the person receiving it.
Employee cartons can be prepared early. Label destination and employee identifiers without exposing private records, and keep essential documents or equipment available until the agreed final working period. Shared files and company equipment need their own packing list. IT approves technical readiness, with specifically agreed Sterling disconnection and physical handling separated from the IT provider's reconnection and startup.
Member access does not establish the mover's door, permitted hours or authority to use a shared passage. Ask the operator who meets the crew, which entrance serves the shipment, what furniture stays and how other occupants keep working. The destination needs an equally concrete receiver and route. A late member working session is not permission for a late moving appointment.
For a downtown receiving address, confirm the actual truck position rather than treating a customer parking space as loading access. Quote the released inventory, preparation, carrying route and transport actually needed. Accept the new workstations before giving up essential equipment at the old workplace, or agree a phased transfer. The useful outcome is the team's own contents at approved destinations, with the operator's furnishings retained and a separate system-readiness handoff.
Example 2: an incubator business separates office work from palletized stock
Imagine a distributor moving office contents and prepared inventory from the airport-area incubator to another business property. The City's Bangor Innovation Center description identifies offices and flex space used for warehousing or manufacturing, plus a truck-height dock, drive-in doors and tenant handling equipment. It contains historical statistics, so confirm today's equipment, condition, booking and operators directly; the description is not an available forklift appointment.
The company gives office furniture, monitors, shared records and loose supplies a crew-handling list. Its stock lead separately identifies suitable pallets, dimensions, weights, stability, collection groups and the inventory that must remain accessible for final orders. Confirm the actual loading entrance and physical site address with the operator rather than assuming City Hall's contact address serves the freight.
Sterling's truck + driver option can suit prepared pallets when customer staff and equipment perform agreed loading and unloading at both ends. The loading method still needs a compatible vehicle, payload, restraints and a clear route. A dock and a ground-level door are different handoffs; decide which will actually be used before selecting the vehicle and handling method.

Have the destination confirm its equipment, competent operator and receiving appointment. Name who reconciles quantities and exceptions, then agree the order of dispatch so essential stock does not leave before it can be received. A first controlled group can confirm the working arrangement; office setup may follow a different deadline and receiver.
Airport proximity does not establish access to restricted airport areas or customs handling. Review the actual property route. The City's heavy-load posting guidance also makes seasonal road signs and vehicle weight relevant. Its spring 2026 notice is not evidence that those restrictions are active in October; check current postings for the planned date and approach.
Compare transport, repeated trips, waiting, customer labor and equipment time with a full crew quotation. Include the separate office preparation and any confirmed holding stage. Completion reconciles office placement and stock receipt separately, without treating a published industrial facility description as a promise of current equipment or unrestricted access.
Example 3: a converted downtown storefront changes its fixtures and stock
Imagine an independent retailer transferring merchandise and freestanding display fixtures from a repurposed downtown property. The Circular Block owner's history describes an 1834 bank building later used by clothing retailers, convenience stores and other businesses. That history illustrates repeated changes of use; it does not describe the current shop, lease, exit dimensions or an actual blocked route.
Survey today's continuous extraction path. Record each display cabinet's rigid dimensions, detachable parts and condition, then measure the doorway, counter turn, threshold and route to the vehicle. An item originally brought through an open shell may no longer have the same route after a counter, partition or shop layout changes. Establish that by inspection rather than guessing from the building's age or appearance.
The retailer identifies stock that remains available to customers, merchandise to transfer and fixtures retained by the landlord or replaced by a supplier. Reconcile counts and shelf or destination identifiers. Pack clothing and ordinary stock by the agreed method, with separate treatment for fragile displays, electronics or any inventory requiring special authorization. A store's sale price does not establish a moving valuation or permission to dispose of goods.

If a rigid fixture lacks an approved path, get the owner's decision and responsible trade ready before the crew arrives. Moving labor does not automatically include alteration of a built counter, demolition or technical installation. A new display supplier and the crew need compatible receiving appointments so their loads do not compete for the same passage.

Example 4: a convention delivery needs its own holding and return arrangements
Imagine an exhibitor delivering ordinary furnishings and boxed display materials for a Bangor gathering. The Cross Insurance Center's event-space page distinguishes a divisible ballroom, meeting rooms and arena space. Include transport, intake, reloading and the next receiving appointment in the quote rather than hiding a second handling stage inside a one-way delivery assumption.
The venue's layout team, caterer and technical provider retain their own responsibilities. Sterling's agreed physical carrying and placement do not automatically include production rigging, AV operation or catering. The organizer accepts its delivered contents, then names who releases them after the event and who receives the return. A later finish requires an agreed alternative; it does not extend the original building or vehicle window.
Completion reconciles the exhibitor's shipment and any authorized returning furnishings. This illustrative workflow uses the venue's actual entrance and storage limitations to prevent an incomplete delivery plan; it is not a report of a Cross Insurance Center assignment.
Commercial work also includes deliveries, contractors and other professional clients
Commercial moving is broader than transferring an office. The commissioning client may be a business even when the contents are ordinary household furniture or the destination is a home. Tell us who orders the work, who owns the items, who permits access and who will approve placement and completion.
Retail shops and showrooms. Plan fixtures, counters, racks, display furniture and merchandise separately. A shop may transfer stock while still trading, replace part of its fit-out or clear a lease before a deadline. Sterling has moved clothing and wine shops. Identify alcohol or other regulated inventory before booking so the shipment, route and applicable requirements can be reviewed; the applicable authorization depends on the actual inventory, route and storage. Settle the applicable authorization for the actual shipment and any storage before including it in the scope. Remove rejected fixtures before they obstruct packing and loading.
Contractor deliveries and occasional labor. A kitchen contractor may have installers but need a crew with suitable handling experience and equipment for a large appliance. A supplier may need help unloading and carrying to a room without buying a complete transport service. Specify arrival, item details, route, preparation and what happens after placement. The installation team remains responsible for its own work. A reviewed labor visit can avoid maintaining a permanent delivery team for occasional jobs, but compare its price with employee time, equipment and disruption rather than assuming a fixed saving.
Restoration pack-out and return. A contractor handling a leak or damage project may commission the removal of a resident's contents. For a Bangor contractor, restoration or staging project, identify the contents owner, property and current receiving entrance. Keep escape and working routes usable, coordinate with the venue or production team and identify who releases the room after the event. A private home can have a professionally commissioned event move too. Hiring movers does not include event design, furniture rental, production rigging or unlimited overnight storage.
Realtors, designers, stagers and resellers. A professional may book help for a client, for staging stock or for purchased pieces. Distinguish an internal rearrangement from collection elsewhere, receiving several shipments and returning staged furniture. Agree who gives the layout and authorizes changes when the property owner is absent. Private-purchase pickup and delivery has a separate collection and release process. Reduce unnecessary handling before comparing quotes
Choose what stays before spending money to pack and move it. Old cubicles, redundant printers, damaged chairs and surplus stock can add preparation, truck space, storage and a second handling stage. Make retained, remove, replace and return lists with the person authorized to decide. Arrange the destination for each group before the crew starts.
Use junk removal and disposal for the removal plan. Business waste does not automatically qualify for a household collection program. Review the business's current collection arrangement and the accepting route for the actual materials; confidential records, electronics, batteries and chemicals need separate decisions.

For a local job, ask for the charging basis, estimated time, any minimum and separately charged work. An hourly estimate helps plan the job; it is not a price ceiling or a completion guarantee. Basic furniture disassembly and reassembly use moving labor time without a separate basic assembly surcharge. Boxes are separate; basic moving blankets, shrink wrap and tape have no separate material charge. Complex systems, heavy items and agreed specialist tasks require review and an individual quote. Furniture unwrapping is part of delivery; optional box unpacking and packaging removal have their own charges.
If the business relocates to another state, include long-distance moving in the discussion. Confirm a commercial shipment's route, delivery arrangement and written pricing rather than applying a household example or delivery window to every business load. Any quoted flat rate applies to its agreed shipment and services; scope changes need separate agreement. A limited building window at the destination remains important even after a long journey.
Send a project brief that allows a useful estimate
Start with the business type and the task: whole relocation, new opening, departmental transfer, internal move, delivery, temporary clearance or labor help. Send what you know; our planning team can recommend an item-list review, video survey or visit according to the work. Floor area alone cannot describe a stockroom, packed files, a heavy oven or the time needed for systems furniture.
Include:
- Pickup and receiving addresses, the actual City or Town, floors, loading position and complete carrying route.
- The inventory and photographs, with models, dimensions and known weights for large or unusual items; pallet details where applicable.
- What employees, vendors and movers will prepare, including sensitive contents that remain with authorized staff.
- The preferred dates, last working period, required first use, supplier appointments and possible alternatives.
- Building instructions, COI requirements, union restrictions, dock/lift reservations and the management contacts at both ends.
- New layout and destination identifiers, together with the person who can approve on-site decisions.
- Retained, remove, replace and return groups; storage, multiple releases, assembly, hanging and waste removal where needed.
- The client ordering and paying for the job, any approval or purchasing requirements and the people receiving each phase.
Before move day, check that the latest plan has reached the people doing the work. Confirm accepted access, completed preparation, the receiving area's readiness and the handoff contacts. If a supplier or contractor changes the sequence, update the affected moving stage before the crew or truck is dispatched. Clear information early gives the project more options than an unresolved problem at the loading dock.

Can you move an entire office or just one department?
Yes. We move complete offices and selected departments, with the scope set from your inventory, destination layout, operating priorities and access at both ends. A departmental move needs a phase plan so the business knows what remains usable and when each receiving area is ready.
Can employees pack their own desk contents?
Yes. Agree which items employees prepare, arrange cartons ahead of time and label for the new room, department and employee or workstation. Three to five cartons per person can be an illustrative starting point, but actual contents determine the quantity. Shared files, furniture and equipment need a separate preparation plan.
Can you deliver packing boxes before the office move?
Materials delivery and earlier preparation can be arranged for a reviewed project. Agree the quantity, delivery date, receiving contact and building access. Company-supplied boxes are charged separately.
Do you pack computers, monitors and office files?
We can review physical preparation and transport of agreed office contents. Have your IT owner approve backups, shutdown and equipment readiness. Specifically agreed IT disconnection can be quoted separately; reconnection, system startup, data management and certified secure-records services are not implied by packing. The business decides filing order and access to records.
Will you reconnect the network and get the office systems running?
Arrange technical reconnection, connectivity and system testing with your IT provider. The moving plan should give that team the right equipment in the right location with usable access. Physical delivery does not guarantee completion of another supplier's technical work.
Can you disassemble and reassemble cubicles?
Workstation systems can be reviewed from the manufacturer, model, condition, layout and installation information. Compare reuse with replacement before booking. Identify parts and fittings for the new layout; systems furniture may require individually quoted work beyond basic furniture operations.
Can you move an office phone booth or acoustic pod?
Send its make, model, dimensions, known weight and the entire access route. The manufacturer's instructions and the proposed handling method determine whether it can move assembled or needs preparation. A relocation kit for one model is not a method for every pod.
Can you install whiteboards, televisions and office artwork?
Hanging, mounting and handyman tasks can be reviewed and agreed alongside the move. Provide item details, wall construction, hardware and intended placement. Technical connections and electrical work need their own specified responsibility and must not be assumed from transport or mounting.
Can you work after business hours or over several days?
Evening, weekend and phased work can be arranged subject to the project, building permission and crew availability. Check both properties' access windows and agree realistic completion points, staffing and charges. A restricted lift window does not mean every stage fits into one night.
Can Sterling work in a building that requires union movers?
Yes, union-required projects can be reviewed and arranged. Send the specific property instructions, documentation requirements and management contact early so the proposed crew and access can be confirmed for that building.
Who arranges the COI, loading dock and freight elevator?
Agree an owner for each request with the business and property managers. Send the building's COI wording and access instructions to our planning team early. Confirm acceptance of the documents and reservations at both ends; submitting a request alone does not establish access.
Can we hire only a truck and driver for palletized stock?
Yes, for a reviewed customer-handled shipment. Your team must be able to load and unload the suitable goods at both ends. Confirm pallet dimensions and weights, vehicle capacity, equipment and operators, access, load securing, trips and waiting terms before comparing this option with a full movers crew.
