Make the estimate reflect the actual job
Let the scope determine the survey
A clear item list may be enough for a small, straightforward job. More belongings, full packing, specialist items or restricted access can call for a video review or an in-person visit. Floor area helps describe the property, but the contents and work matter too.
Start by sending what you know. Our move-planning team will recommend the right level of review so the estimate reflects the job. You do not need to choose a survey method or work out every measurement before contacting us.
The survey helps us choose staffing, time and preparation for the actual job. The person reviewing your move is not necessarily part of the moving crew.
Include photos of large furniture and each approach, the floor served, steps, doorways, lift restrictions if any, the distance from an authorized standing place, and items needing special preparation. Tell us who can approve access at both ends. An estimator can then identify measurements or a survey needed before staffing and vehicle decisions.

Review the entire carrying route
Walk from the proposed vehicle position to each room with the owner or manager. Check the surface, slope, thresholds, turns, handrails and doors that can remain open safely. Measure awkward furniture against the narrowest turn, not just the first doorway. Photograph obstacles and clarify who removes them before the crew arrives.
Steps, moisture, soft ground or low branches are conditions to inspect at your property; the CDP boundary cannot establish them. If an entrance is unsuitable, review an alternative route before loading rather than improvising on arrival.

Confirm where the vehicle may stand
Private permission and physical suitability are separate checks. Agree which driveway or loading area may be used, whether another vehicle must move, and how a truck will enter, turn and leave without blocking access. The moving team needs the truck dimensions and actual site conditions.
For a public street or shoulder, identify the road owner and describe the proposed vehicle, dates, time and occupation of the roadway. The Town Highway Department is a starting contact for town-road questions; ask it to identify the correct county or state owner where needed. Do not treat a wide shoulder, an application or silence from an office as permission to park, obstruct a sidewalk or reserve space.
We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.
The agreed plan should identify who submits each request, who approves it and which municipal or building charges apply. An application is one step; the required access and time still need confirmation.

Divide preparation into useful stages
Choose full packing, selected rooms or selected fragile items, then set a preparation date before the carrying window. Finish decisions about what is leaving first. Keep medicines, documents, chargers, keys, pet supplies and the first-night essentials with you. Label cartons by destination room and separate fragile contents from dense items.
Books belong in small book cartons, with weight controlled so each carton can be handled. Keep one clear packing task at a time; do not mix books and delicate kitchenware in the same work area. Confirm what you will pack, what the company prepares and whether materials need delivery beforehand.

Record stairs and turns for each difficult piece. Send make, model, dimensions and photos before agreeing a method. A floor plan alone cannot establish handling feasibility or equipment. Confirm any owner, contractor or building work required before the moving crew can handle the item.

Keep scope and price changes visible
Local moves: estimated hours, not a fixed total
Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.
A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.
Long-distance flat rates: the same scope, the same price
For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.
Choose protection before the move
Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.
For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Valuation is the mover’s level of liability; it is different from a separate insurance policy. Review the FMCSA explanation of liability and protection and the terms for your particular move.
Ask for the written inventory, packing choices, access assumptions and receiving dates to match your plan. Report additions, changed access or a late key handover promptly so staffing, hours, storage and any revised price can be reviewed together.

Have a workable plan if the keys are late
Confirm who hands over keys, the earliest actual receiving time and a backup contact before move day. If handover is delayed, tell the planning team before the truck is loaded whenever possible. Decide whether pickup can shift, delivery can be staged or storage is needed; record the costs and the new receiving appointment.
Do not assume belongings can wait unattended in a driveway, corridor or loaded vehicle. Keep travel documents, medicines and overnight essentials outside the shipment. For storage, identify what must remain accessible, likely dates and the person authorized to receive the later delivery.

Protect business operations during the move
List workstations, stock, cabinets, equipment and records separately. Assign a responsible person to approve access, packing labels and the receiving layout. Identify the work that must continue and set realistic shut-down, carrying and restart windows. After-hours or phased work needs both crew availability and property approval.
IT transport and disconnection are available; arrange reconnection and system startup with your IT team. Crane work is outside our service scope.
We can also quote island moves, recycling, move-out cleaning and car shipping. For an island destination, provide the exact address so the vehicle or freight crossing, receiving arrangements and final delivery can be reviewed together.
Ask the Town Code Enforcement Office about permitted use or alterations at the proposed premises before building work begins. IT startup, account access and continuity belong to your business team; moving furniture is only one part of reopening.

Check placement before the crew leaves
Direct and consolidated long-distance moving
Our direct long-distance service uses a dedicated truck and the same moving crew at pickup and delivery. For a suitable small shipment, ask about consolidated delivery with a wider agreed receiving window. We serve destinations throughout the United States and Canada. Confirm pickup, delivery and any storage stages in the written move plan. The planning team performs a separate role from the moving crew.
Use a simple room plan and a named receiving contact. Keep walkways and needed doors clear as furniture is placed. Review the items against the agreed shipment, record any concern promptly and identify which basic reassembly, unwrapping or optional unpacking remains. Check that the first-night items can be reached without unpacking every carton.
Arrange packaging removal separately if wanted. Municipal recycling and company removal are different operations; agree which person handles the leftover materials and where they may be taken.

A visible shoulder does not establish permission or suitability. Identify the road owner and confirm the exact proposed standing arrangement; review vehicle dimensions and ground conditions separately.
Are boxes and basic protection materials charged alike?
Basic furniture disassembly and reassembly use your moving labor time without a separate basic assembly fee. Moving blankets, shrink wrap and tape have no separate material charge. Boxes are charged separately. Complex furniture and specialist work receive individual quotes.
What if the receiving address is unavailable?
Contact the planning team before loading where possible. Review shifting dates, staged delivery or storage, with written costs and a confirmed receiving plan.
Can you unpack cartons after delivery?
Furniture is unwrapped as part of delivery. We can also unpack the contents of boxes as optional work charged for time. Packaging and waste removal are charged separately; include the help you want in your request.
Can you handle a piano or complicated furniture?
These items are available for individual review. Provide the item details and route at both properties so method, preparation and price can be agreed.
Does an hourly estimate cap completion time?
Local moves are usually hourly. Estimated or minimum hours are not a fixed total or a completion cap. Inventory, readiness, access and travel conditions can change duration.
Will you reconnect our business systems?
IT transport and disconnection can be scoped. Arrange reconnection and startup with your IT team, along with the operational restart checks.
