Keep the business handoff practical

For an office, studio or shop, nominate one person to approve the move and another, if needed, to release the destination for use. List workstations, shelving, stock, equipment and records by room or department. Identify the first area that must reopen and the items that support it.

Confirm landlord rules, freight access, alarm contacts and any contractor requirements before fixing the sequence. A delivery does not itself reconnect networks, commission equipment or make a workspace operational. Assign those tasks to the responsible providers and allow time to test them.

If customers or staff still use the premises, agree a clear work area and a route that preserves exits. Explain any limits on downtime, staged pickup or the order of unloading in the estimate request.

IT transport and disconnection are available; arrange reconnection and system startup with your IT team. Crane work is outside our service scope.

We can also quote island moves, recycling, move-out cleaning and car shipping. For an island destination, provide the exact address so the vehicle or freight crossing, receiving arrangements and final delivery can be reviewed together.

Check entrances, turns and shared space

Measure the clear route through the receiving door, vestibule, stairs or elevator, landing and final room. An attractive older interior may have a tight turn outside the photograph. Record the dimensions of large pieces and any low ceiling, door closer, handrail or porch step that reduces clearance.

Ask which entrance belongs to the unit and whether a shared hall, side yard or service passage may be used. For an apartment over commercial premises, coordinate the work with shop access and deliveries. A landlord's approval of a move does not itself reserve public space outside.

Photograph changes in level and the approach from the legal truck position. Tell the mover about a long carry, soft ground, restricted floor protection, a small elevator or a separate loading door. Assign someone who can unlock each part of the route and resolve an access question during the agreed window.

We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.

The agreed plan should identify who submits each request, who approves it and which City or building charges apply. An application is one step; the required access and time still need confirmation.

Reserve the space and check the wider operation

Portsmouth's parking rules expressly include moving household goods in its construction-permit and meter-bag program. The published charge is $60 per day per parking space. The City also links a metered-space reservation application for approved exclusive use on a specified date and time. Ask Parking at 603-766-7000, option 2 which process fits the address and vehicle.

Describe the truck length, ramp or liftgate and hours, not only the building number. Confirm how many spaces are needed, who applies, how official controls are placed and what to do if a vehicle remains there. A standard loading zone permits active loading for no more than 30 minutes; it is not a whole-move reservation.

If the work occupies other public space or affects pedestrians or traffic, involve DPW at 603-427-1530. Chapter 6 includes moving trucks among possible encumbrances. The online encumbrance instructions state a minimum four-day processing period and a $150 processing fee, but terminology and fee references differ across the City's documents. Confirm the applicable approval and total charge before relying on them.

The separate flagging procedure calls for five business days for a standard application; a full street closure needs at least seven working days' notice and confirmation three working days beforehand. These are distinct from ordinary meter payment and do not guarantee approval. Coordinate the building window with the approved footprint and any required traffic controls.

Keep a lawful fallback in the plan. If the curb cannot be secured, a different vehicle position may change carrying distance, equipment or timing. The Portsmouth curb procedure explains the contacts, source differences and questions to settle before arrival.

Choose packing by the contents and the next room

Separate the packing you will complete from the work requested from the crew. Books, glassware, artwork and hanging clothes need different preparation. Identify fragile pieces and unusual sizes before the estimate, and explain anything that must remain usable until departure.

Label cartons by destination room and contents. Keep loads manageable and prepare a first-night kit with documents, medicines, chargers, keys and essential clothing. If several households or departments share a delivery, make the destinations clear before cartons reach the common entrance.

Agree how empty cartons and packing materials will be handled at the destination. Portsmouth's scheduled disposal services do not automatically coincide with move-in day, and leaving packaging in a public or shared route can obstruct others.

Give the estimate the details that change the work

Local moves: estimated hours, not a fixed total

Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.

A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.

Long-distance flat rates: the same scope, the same price

For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.

The useful comparison is the agreed scope. Share the inventory, packing requirements, stair and elevator routes, carrying distance and any separate destinations. Include a garage, basement, storage locker or another pickup even if it is close to the main address.

Ask which charges belong to the moving scope and which come from the building, parking authority or another provider. Any applicable City parking charge is separate from the moving scope. A building reservation is not proof that the public curb will be available.

Identify uncertain dates, access or storage needs. Update the estimate when the shipment or service changes.

Agree the delivery and protection arrangements

Dedicated long-distance moving

Our dedicated long-distance service uses a dedicated truck and delivery, with the same moving crew at pickup and drop-off. Confirm the pickup, delivery and any storage stages in your move plan. The survey and move-planning team performs a separate role from the crew carrying out the move.

Plan the two addresses in sequence. Pickup and delivery windows need to be compatible with loading, travel and unloading; they do not need to be identical. Name the people who release each property and can answer an access question while the move is underway.

For an interstate move, review the written documents and the FMCSA consumer guidance. Keep the inventory and agreed services together with the access confirmations. Raise a change while there is still time to adjust the plan.

Choose protection before the move

Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.

For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Valuation is the mover’s level of liability; it is different from a separate insurance policy. Review the FMCSA explanation of liability and protection and the terms for your particular move.

Keep weather and date choices separate

Check the City's snow-parking notices shortly before a winter move. Advance warning, an active ban and cancellation are different stages, and downtown snow operations can use a separate window. A metered-space arrangement should not be assumed to override emergency directions.

Assign clearing and treatment of the private walk, steps and entrance to someone who can finish before the receiving window. The snowstorm guide asks residents to keep excess snow out of streets and to remove obstructions before plowing. Recheck the full carrying route after snowfall, refreezing or a plow pass.

Company scheduling experience includes heavier summer and month-end work, with another rise around mid-month. This is an observation from the company's work, not a measured Portsmouth demand forecast. Offer several usable dates and allow time for building and municipal arrangements; a quieter date does not guarantee a crew, a price or access.

Verify the receiving conditions before unloading

A clear item list may be enough for a small, straightforward job. More belongings, full packing, specialist items or restricted access can call for a video review or an in-person visit. Floor area helps describe the property, but the contents and work matter too.

When should DPW be involved?

Contact DPW if the operation would encumber public space or affect the passage of vehicles or pedestrians. The encumbrance and flagging processes have different documents and lead times. Obtain the requirements for the specific footprint before scheduling.

Are basic furniture assembly and packing materials included?

Basic furniture disassembly and reassembly use your moving labor time without a separate basic assembly fee. Moving blankets, shrink wrap and tape have no separate material charge. Boxes are charged separately. Complex furniture and specialist work receive individual quotes.

Can you unpack boxes and remove the packaging?

Furniture is unwrapped as part of delivery. We can also unpack the contents of boxes as optional work charged for time. Packaging and waste removal are charged separately; include the help you want in your request.

Can an older home require a different receiving plan?

Yes. Measure the actual doorway, stair turns and landings with the large items in mind. Discuss agreed disassembly or another authorized route in advance; a window or neighboring property is not an automatic alternative.

What happens if possession or the curb is delayed?

Contact the authorized decision-maker before the affected work proceeds. A later window, lawful alternative position or storage stage needs confirmed capacity, access and costs. Keep a separate plan for the people traveling with the shipment.
