Start with what is moving and where it needs to go. A household changing apartments near Central Square, a family arriving from another state and a collection moving into temporary storage need different arrangements. The same bedroom count can describe very different inventories. Books, framed work, large dining furniture, basement storage and the stairs leading to them all belong in the conversation.

For a Cambridge-to-Boston move, the short distance does not remove the need to coordinate two buildings and two municipalities. For an interstate arrival, the receiving property's access window has to work with the delivery arrangement. Begin with those constraints and build the service around them.

A square name helps locate an address. It does not tell a crew which entrance to use. Send the full street address, unit, floor and the doorway used for moving at both properties. A main lobby can be on a different street from the service entrance; a ground-floor unit can still have exterior steps between it and the curb.

At a walk-up, include the narrowest doorway, stair flights, turns and landings. A short video following the route is often more useful than a photograph of the room alone. At an elevator building, obtain the usable cab and door dimensions, booking hours, loading instructions and the building's contact. Send any required certificate-of-insurance wording early so its feasibility and timing can be checked.

Point out the largest or least flexible pieces before the estimate is settled. A sofa's route can fail at a landing even when it fits through the front door. The plan may need agreed disassembly, a different entrance or a different destination for that item. A measured answer before moving day keeps this decision in your hands.

Use the moving estimate form to share the route and the essentials. If an address, access arrangement or date is still provisional, identify it as provisional. That is more useful than filling the gap with an assumption that later changes the move.

• Route and dates: collection and delivery addresses, preferred date, flexibility and any firm key or building deadline.
• Inventory: rooms, major furniture, approximate carton count, storage areas and items staying behind.
• Access: floors, stairs, elevators, loading position, carry distance and the actual moving entrance at each end.
• Packing: what you will pack, what you want packed professionally and which items need separate assessment.
• Special arrangements: storage between homes, more than one stop, time restrictions or furniture that may need disassembly.

Keep photographs grouped by room and include the access route. If you are still deciding whether to keep a large cabinet or bed, flag the decision and its likely timing. An updated inventory is a better basis for an estimate than an apartment size with important pieces missing.

A useful estimate explains the work it covers. The main inputs include inventory, packing, the handling route, loading access, travel and any storage or additional delivery stage. There is no reliable Cambridge price that can be calculated from a city name and a bedroom count alone.

Ask how changed inventory or access will be handled, which materials and disassembly are included, and which charges sit outside the moving service. City permit fees and property charges should be visible as separate responsibilities. Review payment, cancellation and protection terms in the written agreement rather than inferring them from a service name.

If you need reserved street space, Cambridge has its own Moving Van Permit. The live application requires submission and payment at least seven calendar days before the start date. A curb reservation is one part of the access plan. It does not book a service elevator, unlock a gate or extend a property's moving hours. Agree the useful overlap between the building window and the approved street reservation. If a property offers private loading, get its instructions before applying for public curb space that the move may not use.

Memorial Drive is not a moving-truck shortcut. Massachusetts DCR also restricts moving trucks and vans on Storrow Drive and Soldiers Field Road across the river. A route suggested for a passenger car does not establish that the moving vehicle can use it. DCR river-road restrictions.

The approach needs to account for the vehicle, the crossing, local truck restrictions and the final turns to the agreed loading point. Tell us if the building has separate directions for commercial deliveries. An interstate truck and a smaller moving vehicle may need different access planning; that decision belongs in the confirmed arrangements.

If the destination is on a restricted local street, its exact location matters. Cambridge publishes local restrictions and delivery information, but that is not permission to ignore state-road rules or physical clearance. Our guide separates the two checks.

Packing scope should follow the belongings, not just the number of rooms. Dense books, glassware, framed pictures, lamps and an antique table need different materials and handling. Name fragile, valuable, oversized or unusually heavy pieces in the estimate request and send dimensions or photographs where they help explain the item.

If you will pack some rooms yourself, agree where that responsibility ends. Cartons should close properly, be usable for their contents and be labeled by destination room. Keep a clear distinction between boxes ready to travel and items that still need assessment. Do not plan to add loose glass or an unpacked mirror to the load without discussing its preparation.

Packing services can be discussed for the whole home or selected work. For artwork and antiques, use the specialist handling page as the starting point, then confirm the actual method and scope for each piece. Packing, transport, installation and hanging are separate tasks to settle in the agreement.

Check when the old property must be empty and when you can actually receive furniture at the new one. A lease start date, a key handover and a booked service elevator can be different events. Put the usable times in one plan before treating the move as a same-day transfer.

If those times do not align, discuss storage arrangements and the later delivery. Identify what you need to keep with you and whether you expect access to stored belongings before the final move. Confirm notice requirements, handling, storage terms and the receiving address instead of assuming every storage arrangement works the same way.

For a winter move, assign responsibility for clearing and maintaining the private walkway, steps and loading approach. Check current city restrictions close to the date. A plowed street does not mean the route to an upper-floor apartment is ready for furniture.

Before collection, confirm the inventory, packing responsibilities, approved access and the person who can answer a building question. Keep keys, medications, essential documents, chargers and the items needed for your first night with you. Mark anything that must stay at the old home so that it cannot be mistaken for part of the shipment.

Make room for the handling route. Shared stairs and entrances need to remain usable; bags of discarded belongings should not occupy the place where protected furniture has to turn. Arrange unwanted furniture and mattress collection separately, early enough that it does not become an unplanned moving-day task.

At delivery, have a simple room plan ready. Tell the crew where large pieces should go before cartons fill the room, and check the agreed inventory and condition process as the move is completed. Raise a question while the relevant item and paperwork are available. The aim is a clear handover of the work that was agreed.

Before booking, identify the legal name of the company carrying the shipment and check the applicable consumer resources. Massachusetts DPU provides information for household moves within the state. The written arrangements should make the inventory, included work, dates or delivery window, payment terms, protection choices and any storage stage clear. A building's insurance-document requirement should be checked against those arrangements; it does not replace the customer's discussion of shipment protection.
