Send the building’s loading entrance, dock and elevator instructions with the inventory, including each permitted working window and the person who can unlock the route. Name who disconnects equipment, reconnects it and checks that power, network and essential systems work before reopening. Plan a confirmed temporary working arrangement where the business must keep operating; delivery of furniture alone does not establish operational readiness.

For an apartment, provide the floor, the number of stair flights, the narrowest clear doorway and photographs of turns and landings. A wide front door does not resolve a tight stair return. Include large sofas, tall cabinets and mattresses in the access review while there is still time to change the plan.

For a managed building, ask for the permitted moving hours, service entrance, elevator booking procedure and required insurance documents. The elevator’s door opening and usable interior both matter. Send the actual building instructions; a document accepted at another property does not establish approval here.

For a house off the peninsula, show the driveway approach, overhead clearance, slope and turning space. Include the route from the driveway to the usable entrance. A driveway visible in a listing is not necessarily a place where the moving vehicle can stand.

We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.

The agreed plan should identify who submits each request, who approves it and which municipal or building charges apply. An application is one step; the required access and time still need confirmation.

Portland’s commercial loading zones are limited to 30 minutes for vehicles with commercial or combination plates, with additional conditions on individual signs. The City expressly offers an On-Street Occupancy Permit for reserving moving-van space. Its occupancy guidance gives an application window of five to ten business days before the start date. Agree who will apply, pay, obtain approval and arrange the required signs and tow sheet. Private building approval and a City curb reservation address different parts of the move.

Tell the planner the exact street, side, frontage and proposed loading period. Match that period to the building’s moving window and check maintenance restrictions before arrival. If the approved space is blocked, use the contacts on the current tow sheet and the agreed alternative; parking farther away can change the carry and the work.

Labor, materials and optional work

Tell us which tasks you want completed and which materials you need. Your estimate should distinguish moving labor, boxes, specialist work and removal charges.

Make a room-by-room list of who will pack. Full-house packing, a kitchen and china cabinet, or protection for selected fragile items are different scopes. Identify anything that must stay accessible until departure and anything the household will transport separately.

Closed cartons should support their contents and be practical to carry. Books need manageable cartons; lamps, framed pieces and glass require protection appropriate to their shape. Tell the planner about artwork, antiques and pieces that may need a crate rather than assuming ordinary wrapping covers them.

Identify the destination room and contents directly on ordinary kraft cartons; use an attached paper label on a customer tote. Clear loose belongings from the top, empty ordinary dresser drawers and leave the drawers installed in the protected body for transport. Protect the body before safely removing long table or desk legs, then keep the complete protected set and its hardware together. Keep any attached feet covered by the moving blanket. Keep an accessible first-night group: everyday clothes, toiletries, bedding, essential documents and chargers. Set those aside clearly before loading. Decide early which furniture will be sold, donated or taken through the City’s bulky-waste process so that unwanted pieces are not packed or included in the move.

Specialist services by individual quote

Send photographs, dimensions, make or model where relevant, and the route through both properties. Describe exactly what needs to be taken apart, moved or installed. We review the method and required work before providing an individual quote.

Give the island name as well as the postal address. Peaks, Little Diamond, Great Diamond and Cliff are within Portland, but their transport arrangements differ. Long Island and Chebeague are separate towns. The Casco Bay Lines community overview identifies those jurisdictions.

A passenger ticket does not reserve space for household freight or establish that a moving truck can travel. Peaks has a separate commercial-vehicle reservation process. The operator’s Downbay vehicle service is limited to 5,500 pounds including cargo and a height of 6 feet 6 inches, excluding most moving trucks. It does not offer same-day vehicle round trips. Household goods may need a freight transfer or another agreed transport arrangement, so settle the method before choosing the delivery date.

Before relying on an island delivery date, agree the full scope with Sterling Oakbridge and confirm the ferry operator’s acceptance of the shipment or vehicle, the loading method and the receiving arrangement on the island. Local moves: estimated hours, not a fixed total

Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.

A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.

Long-distance flat rates: the same scope, the same price

For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.

A useful estimate is tied to a defined inventory and a workable access plan. A room count alone misses the difference between a lightly furnished apartment and rooms containing books, art, large cabinets or storage areas. Send an inventory that includes basements, attics and outdoor items intended for transport.

• Volume and handling: cartons, furniture dimensions, fragile pieces and required disassembly.
• Access at both ends: stair flights, carry distance, elevator availability and restricted loading windows.
• Preparation: packing labor, materials, crating and agreed unpacking.
• Travel and timing: the route, the delivery arrangement and any necessary waiting or additional handling.
• Separate stages: storage, another stop, or an accepted island transport plan.

Ask what the price assumes, which work is excluded and how changes will be handled. If the inventory grows, the elevator slot changes or the receiving date moves, have the scope reviewed before the crew is working against different conditions. A clear comparison between estimates starts with the same list of belongings and the same access information. For unchanged long-distance inventory, access and services, the agreed flat price stays the same when travel or delivery takes longer. Changes of scope are reviewed and agreed separately in writing.

Municipal permit charges, ferry or freight charges where applicable, and building fees are separate from moving labor. Agree who arranges and pays each one in the written scope.

Our direct long-distance service uses a dedicated truck and the same moving crew at pickup and delivery. For a suitable small shipment, ask about consolidated delivery with a wider agreed receiving window. We serve destinations throughout the United States and Canada. Confirm pickup, delivery and any storage stages in the written move plan. The planning team performs a separate role from the moving crew.

On moving day, our crew prepares the agreed route protection, wraps furniture, packs the groups you selected, carries and loads the shipment. At delivery, we unload and place furniture and cartons in the receiving rooms, unwrap the furniture and complete agreed basic reassembly. Optional box unpacking and packaging removal have their own charges.

Choose protection before the move

Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.

For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Valuation is the mover’s level of liability; it is different from a separate insurance policy. Review the FMCSA explanation of liability and protection and the terms for your particular move.

Check the destination before departure. A key handover, elevator reservation or driveway clearance that was expected earlier may still be outstanding. Put the person who can resolve access issues in contact with the move planner before the truck is on its way.

For a winter move, agree who clears and treats the outside path and where snow can be placed without obstructing loading. Street-maintenance restrictions and an emergency snow ban are separate conditions. For any season, review current roadwork through New England 511 and follow the carrier’s vehicle-specific approach plan.

Keep children and pets away from the active carry route, mark belongings staying behind and keep essential personal items with you. Provide a simple room plan at delivery. These small decisions reduce uncertainty while the crew is handling larger pieces.

If keys, the approved loading space, an elevator or an island handover remain unconfirmed, decide with the mover before dispatch which confirmed alternative will be used and who may authorize its costs. That may mean another approved slot, a separate stage or agreed storage and later delivery. Confirm the receiving contact and the condition that allows work to resume; an application or an unbooked supplier is not an available fallback. A clear item list may be enough for a small, straightforward job. More belongings, full packing, specialist items or restricted access can call for a video review or an in-person visit. Floor area helps describe the property, but the contents and work matter too.
