Keep the business handoff practical
For an office, studio or shop, nominate one person to approve the move and another, if needed, to release the destination for use. List workstations, shelving, stock, equipment and records by room or department. Identify the first area that must reopen and the items that support it.
Confirm landlord rules, freight access, alarm contacts and any contractor requirements before fixing the sequence. A delivery does not itself reconnect networks, commission equipment or make a workspace operational. Assign those tasks to the responsible providers and allow time to test them.
If customers or staff still use the premises, agree a clear work area and a route that preserves exits. Explain any limits on downtime, staged pickup or the order of unloading in the estimate request.
IT transport and disconnection are available; arrange reconnection and system startup with your IT team. Crane work is outside our service scope.
We can also quote island moves, recycling, move-out cleaning and car shipping. For an island destination, provide the exact address so the vehicle or freight crossing, receiving arrangements and final delivery can be reviewed together.

Check the route beyond the front door
Measure the receiving door, porch or vestibule, stairs, turns and final room. Record handrails, door closers, low ceilings and changes in level that reduce usable space. A large room can still have a narrow approach.
In a converted or mixed-use building, ask which entrance serves the residence and whether a service corridor or elevator may be used. Coordinate with shop access and other deliveries. In a house, confirm whether a side drive, yard or neighboring passage is part of the authorized route.
Photograph the complete path from the proposed vehicle position. Identify carrying distance, soft ground, steep sections and the person who can unlock each door. Share furniture dimensions before assuming that an awkward turn can be solved on the day.
We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.
The agreed plan should identify who submits each request, who approves it and which City or building charges apply. An application is one step; the required access and time still need confirmation.

Resolve the truck footprint and any container separately
Danville's River District parking page says public parking is free, with time limits in some locations. That does not reserve space for a moving truck or authorize a ramp across a sidewalk. Send Public Works Engineering at 434-799-5019 the address, date, hours, vehicle dimensions and a sketch of the full operation.
The temporary right-of-way closure form distinguishes full street, partial street, sidewalk and construction use of parking spaces. For a full closure, it requires the application, traffic-control plan and property-owner notifications at least 14 days before work begins. Ask Engineering which approval fits an ordinary household move; the form's construction categories do not establish that every move needs a closure.
A portable storage container has its own application and August 2026 policy. Private property is preferred. A POD in the right-of-way is normally limited to seven consecutive days, subject to approval and possible shorter limits. The residential fee's first 15-day block does not grant 15 days of placement. Registered trucks and trailers are excluded from the policy's portable-storage-unit definition.
The current street and parking code also protects hydrants, curb ramps, traffic and pedestrian routes. Active loading is not a blanket exemption from those restrictions. Confirm official controls, responsibility for any notices and the response if the intended space is occupied. Keep a lawful alternative position or revised delivery window available.

Choose packing by the contents and the next room
Separate the packing you will complete from the work requested from the crew. Books, glassware, artwork and hanging clothes need different preparation. Identify fragile pieces and unusual sizes before the estimate, and explain anything that must remain usable until departure.
Label cartons by destination room and contents. Keep loads manageable and prepare a first-night kit with documents, medicines, chargers, keys and essential clothing. If several households or departments share a delivery, make the destinations clear before cartons reach the common entrance.
Agree how empty cartons and packing materials will be handled at the destination. Danville's scheduled disposal services do not automatically coincide with move-in day, and leaving packaging in a public or shared route can obstruct others.

Give the estimate the details that change the work
Local moves: estimated hours, not a fixed total
Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.
A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.
Long-distance flat rates: the same scope, the same price
For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.
The useful comparison is the agreed scope. Share the inventory, packing requirements, stair and elevator routes, carrying distance and any separate destinations. Include a garage, basement, storage locker or another pickup even if it is close to the main address.
Ask which charges belong to the moving scope and which come from the building, parking authority or another provider. Any applicable City parking charge is separate from the moving scope. A building reservation is not proof that the public curb will be available.
Identify uncertain dates, access or storage needs. Update the estimate when the shipment or service changes.

Agree the delivery and protection arrangements
Dedicated long-distance moving
Our dedicated long-distance service uses a dedicated truck and delivery, with the same moving crew at pickup and drop-off. Confirm the pickup, delivery and any storage stages in your move plan. The survey and move-planning team performs a separate role from the crew carrying out the move.
Plan the two addresses in sequence. Pickup and delivery windows need to be compatible with loading, travel and unloading; they do not need to be identical. Name the people who release each property and can answer an access question while the move is underway.
For an interstate move, review the written documents and the FMCSA consumer guidance. Keep the inventory and agreed services together with the access confirmations. Raise a change while there is still time to adjust the plan.
Choose protection before the move
Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.
For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Valuation is the mover’s level of liability; it is different from a separate insurance policy. Review the FMCSA explanation of liability and protection and the terms for your particular move.

Keep the approach usable when conditions change
Danville prioritizes bridges and major roads before residential streets during snow removal. A passable main road does not prove that the receiving driveway or steps are ready. Assign private-route clearing and check the actual conditions before arrival.
The current section 35-62(b)(4) requires the owner or occupant to clear adjoining sidewalk snow within 24 hours after it stops falling, with corresponding ice and sleet provisions. Keep the moving route safe when it is used rather than treating that outer deadline as a reason to leave it obstructed.
In rain or heat, review the loading surface, indoor protection, rest arrangements and what must stay accessible. A weather change, delayed key release or unavailable elevator can alter the sequence; tell the mover while another window can still be arranged.

Use one agreed sequence at both properties
Start with the inventory and a walkthrough of the agreed route. Identify items that stay, pieces that need special handling and anything whose preparation is incomplete. Confirm the first rooms to receive furniture before cartons fill the circulation space.
Keep exits, shared paths and the loading area usable throughout the work. If the actual door, stair, truck position or inventory differs from the estimate, discuss the changed scope before relying on the original sequence. Do not improvise a public-space closure or an unsafe carrying route.
Before the crew leaves, check the agreed rooms and scope together, including any assembly or unpacking specifically requested. Keep essential documents, keys and first-night supplies with the household, and retain the moving paperwork for any follow-up.

A clear item list may be enough for a small, straightforward job. More belongings, full packing, specialist items or restricted access can call for a video review or an in-person visit. Floor area helps describe the property, but the contents and work matter too.

Questions before you move
Does free downtown parking reserve room for a moving truck?
No. The City parking page describes ordinary public parking. Confirm the full truck and equipment footprint with Engineering, including applicable time limits, traffic or pedestrian controls and any separate permission.
Can a POD stay in the street for the first 15 free days?
The fee period is separate from the approved duration. The container policy normally limits a POD to seven consecutive days, prefers private property and requires approval before right-of-way placement. Confirm the conditions for the proposed address.
What should I send for an estimate?
Provide the addresses and units, dates, inventory, packing needs and access photographs. Include stairs, elevator arrangements, carrying distance, storage and separate pickups. Identify any approval or possession date still awaiting confirmation.
Are basic furniture assembly and packing materials included?
Basic furniture disassembly and reassembly use your moving labor time without a separate basic assembly fee. Moving blankets, shrink wrap and tape have no separate material charge. Boxes are charged separately. Complex furniture and specialist work receive individual quotes.
Can you unpack boxes and remove the packaging?
Furniture is unwrapped as part of delivery. We can also unpack the contents of boxes as optional work charged for time. Packaging and waste removal are charged separately; include the help you want in your request.
Can you help with an office or shop move?
Describe the workstations, stock, equipment and records, the receiving route and the reopening sequence. Agree the moving scope and assign separate responsibilities for systems, installation and operational testing.
What if keys or the loading position are unavailable?
Tell the mover and property contact before unloading begins. Review an authorized later window, another lawful position or a separately agreed storage arrangement. Confirm the effect on scope and charges before changing the plan.
