Keep the business handoff practical
For an office, studio or shop, nominate one person to approve the move and another, if needed, to release the destination for use. List workstations, shelving, stock, equipment and records by room or department. Identify the first area that must reopen and the items that support it.
Confirm landlord rules, freight access, alarm contacts and any contractor requirements before fixing the sequence. A delivery does not itself reconnect networks, commission equipment or make a workspace operational. Assign those tasks to the responsible providers and allow time to test them.
If customers or staff still use the premises, agree a clear work area and a route that preserves exits. Explain any limits on downtime, staged pickup or the order of unloading in the estimate request.
IT transport and disconnection are available; arrange reconnection and system startup with your IT team. Crane work is outside our service scope.
We can also quote island moves, recycling, move-out cleaning and car shipping. For an island destination, provide the exact address so the vehicle or freight crossing, receiving arrangements and final delivery can be reviewed together.

Measure the entire route into the building
Measure the receiving opening, porch landing, vestibule, stair turns and final room. Handrails, door closers and low ceilings can reduce the usable clearance. A large room does not establish that its approach will accept a large piece.
Where a home sits above or below street level, show the full change in elevation. Confirm whether a side drive, rear passage or neighboring route is actually available with permission. In a mixed-use building, identify the residential entrance and keep shop access and shared exits usable.
Ask the manager about a reserved moving window, elevator dimensions and capacity, protective coverings, insurance documents, staffing and any building charges. Record who unlocks each part of the route and what happens if the slot ends before work is complete. Give the mover photographs and measurements while the scope can still be adjusted.
We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.
The agreed plan should identify who submits each request, who approves it and which City or building charges apply. An application is one step; the required access and time still need confirmation.

Match the permit to the loading operation
Under Lynchburg's parking code, a marked loading zone generally allows up to 30 minutes of active loading while its posted rules apply. Longer accommodation requires a temporary Central Business District parking permit. Contact Parking Management at 434-455-4045 through the permit page with the address, date, hours and full vehicle footprint.
Temporary parking, a container in the street and a sidewalk or traffic restriction are different arrangements. Public Works Engineering handles right-of-way permits, including storage PODs and traffic-control plans. Describe the truck, ramp or liftgate, pedestrian route and any container before assuming which approval is sufficient.
The category fee schedule lists $50 for the first 30 days of temporary storage/POD use and $100 for each additional 30 days; a maintenance-of-traffic permit is $100 per 30 days. The overview also mentions a general $100 fee. Confirm the applicable category and invoice with Engineering. A billing period is not an approved placement duration or a moving quote.
Keep the issued conditions and official contact available. Confirm how any reserved space is marked and handled if occupied. A private cone, a payment receipt or a residential parking pass does not establish exclusive moving space. Arrange an alternative lawful position or delivery window before the crew needs it.

Choose packing by the contents and the next room
Separate the packing you will complete from the work requested from the crew. Books, glassware, artwork and hanging clothes need different preparation. Identify fragile pieces and unusual sizes before the estimate, and explain anything that must remain usable until departure.
Label cartons by destination room and contents. Keep loads manageable and prepare a first-night kit with documents, medicines, chargers, keys and essential clothing. If several households or departments share a delivery, make the destinations clear before cartons reach the common entrance.
Agree how empty cartons and packing materials will be handled at the destination. Lynchburg's scheduled disposal services do not automatically coincide with move-in day, and leaving packaging in a public or shared route can obstruct others.

Give the estimate the details that change the work
Local moves: estimated hours, not a fixed total
Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.
A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.
Long-distance flat rates: the same scope, the same price
For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.
The useful comparison is the agreed scope. Share the inventory, packing requirements, stair and elevator routes, carrying distance and any separate destinations. Include a garage, basement, storage locker or another pickup even if it is close to the main address.
Ask which charges belong to the moving scope and which come from the building, parking authority or another provider. Any applicable City parking charge is separate from the moving scope. A building reservation is not proof that the public curb will be available.
Identify uncertain dates, access or storage needs. Update the estimate when the shipment or service changes.

Agree the delivery and protection arrangements
Dedicated long-distance moving
Our dedicated long-distance service uses a dedicated truck and delivery, with the same moving crew at pickup and drop-off. Confirm the pickup, delivery and any storage stages in your move plan. The survey and move-planning team performs a separate role from the crew carrying out the move.
Plan the two addresses in sequence. Pickup and delivery windows need to be compatible with loading, travel and unloading; they do not need to be identical. Name the people who release each property and can answer an access question while the move is underway.
For an interstate move, review the written documents and the FMCSA consumer guidance. Keep the inventory and agreed services together with the access confirmations. Raise a change while there is still time to adjust the plan.
Choose protection before the move
Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.
For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Valuation is the mover’s level of liability; it is different from a separate insurance policy. Review the FMCSA explanation of liability and protection and the terms for your particular move.

Check the actual approach when conditions change
Lynchburg's section 35-6 requires the occupant to clear adjoining sidewalk snow within four hours after it stops; after overnight snowfall, clearing is due by noon the following day. The owner or agent is responsible for an unoccupied property. Ice and sleet have related provisions. Assign this work before arrival and make the route usable when it is needed.
The City's plowing-priority map concerns public streets. It does not confirm that a private drive, porch or stair is ready. Check shaded slopes, drainage, wet leaves and traction, and decide who can correct a problem before delivery starts.
Weather, delayed keys or an unavailable elevator can change the sequence. Tell the mover and property contact while a revised window or other agreed arrangement can still be put in place.

Use one agreed sequence at both properties
Start with the inventory and a walkthrough of the agreed route. Identify items that stay, pieces that need special handling and anything whose preparation is incomplete. Confirm the first rooms to receive furniture before cartons fill the circulation space.
Keep exits, shared paths and the loading area usable throughout the work. If the actual door, stair, truck position or inventory differs from the estimate, discuss the changed scope before relying on the original sequence. Do not improvise a public-space closure or an unsafe carrying route.
Before the crew leaves, check the agreed rooms and scope together, including any assembly or unpacking specifically requested. Keep essential documents, keys and first-night supplies with the household, and retain the moving paperwork for any follow-up.

Can a moving truck use a downtown loading zone all day?
No. The loading-zone rule normally allows 30 minutes of active loading while the posted rules apply. Longer accommodation requires the temporary CBD parking-permit process. Confirm the particular location and any separate right-of-way approval before the move.
Does a storage POD use the same permission as the truck?
Do not assume so. Engineering's right-of-way process covers temporary storage and PODs as well as traffic-related work. Describe each object, its dimensions, placement and duration; obtain the conditions that apply to the whole operation.
What should I provide for an estimate?
Send both addresses and units, dates, inventory, packing needs and access photographs. Include elevation changes, stairs, elevators, carrying distance, storage and separate pickups. Identify any possession date, building slot or public-space approval still pending.
Are basic furniture assembly and packing materials included?
Basic furniture disassembly and reassembly use your moving labor time without a separate basic assembly fee. Moving blankets, shrink wrap and tape have no separate material charge. Boxes are charged separately. Complex furniture and specialist work receive individual quotes.
Can you unpack boxes and remove the packaging?
Furniture is unwrapped as part of delivery. We can also unpack the contents of boxes as optional work charged for time. Packaging and waste removal are charged separately; include the help you want in your request.
Can you help with a shop or office move?
Describe the equipment, stock, workstations and records, receiving access and reopening sequence. Agree the moving scope and assign separate responsibility for systems, installation and operational testing.
What if the property or parking space is unavailable?
Contact the mover and the person controlling access before unloading. Confirm a lawful alternative, a new window or separately agreed storage, including availability and any additional handling or waiting charges. Do not treat an unconfirmed option as a booking.
