Start with the outcome you need at delivery. You might pack everyday belongings yourself and request help with fragile pieces, or discuss fuller packing and a separately agreed unpacking scope. If possession dates do not align, include storage in the initial conversation. The estimate should identify what travels directly, what is stored, and what you need to keep with you.
Include items outside ordinary rooms: cellar shelving, attic contents, outdoor furniture, framed artwork and belongings kept elsewhere. Tell us which pieces will be sold, donated or collected before moving day. The working inventory should reflect the shipment that will actually be ready, with changes communicated before they alter the plan.

Coordinate the business move and reopening
For a business move, appoint inventory and access contacts. List furniture, equipment, fragile stock and the work needed to reopen. Agree which areas can be packed while others remain in use and how time-sensitive items will move.
Ask each manager about receiving doors, loading areas, elevators, shared corridors, permitted hours and required documents. A weekend lease-access allowance does not automatically include reserved public curb space. If the operation affects the sidewalk or a travel lane, review Richmond’s right-of-way process early enough for the required plan and review.
Separate transportation from tasks owned by your IT staff, facilities team, equipment supplier or other specialist. Confirm disconnecting, reconnecting, testing and the person who decides that a workstation or service is ready. Include the consequences of a delayed key handoff or unavailable receiving area before setting a reopening commitment.

Trace the entire receiving route
Walk from the proposed loading position to the final room at both properties. Record porch steps, door openings, vestibules, landings, hallway turns and every elevator or stair flight. Measure the awkward pieces and the narrow points they must pass. In a divided older house, confirm which door serves your unit and whether another household shares any part of the route.
For a building with a short moving window, ask whether approved preparation can happen beforehand: packing, protection, staging or disassembly in a permitted area. Distinguish that preparation from carrying through a shared corridor or using a reserved elevator. The person controlling the building must confirm which activities are allowed and when.
A second entrance can help only if it is authorized and physically suitable. Send photographs of side paths, gates and changes in level rather than assuming the front is the only option. Public-sidewalk occupation is a separate question under the City right-of-way rules; permission from a landlord does not replace it.
We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.
The agreed plan should identify who submits each request, who approves it and which City or building charges apply. An application is one step; the required access and time still need confirmation.

Reserve the right space through the right process
Richmond has a specific process for moving-related parking reservations. Its parking guidance directs applicants to DGS Parking at 804-646-3684 or City Hall, Room 102. Apply at least three business days before the requested date. The stated sign lead times are 48 hours in residential areas and 24 hours in metered commercial areas. Arrange who obtains and installs the approved signs and keeps the permit information available.
The parking page lists metered reservations at $10 per day per space, with payment before permits and signs are issued. A separate right-of-way page describes meter charges differently for its own process. Have the issuing office confirm the applicable charge for your location and permit type. The meter reservation portal begins with sign-in or account creation.
If the plan includes a POD, equipment or an obstruction of the street or sidewalk, ask the Right of Way Management Division which Work in Streets Permit and traffic-control documents apply. Describe the vehicle, rear working space and any equipment, not just a number of spaces. A residential parking pass is not a reserved loading position. Decide what will be packed before the crew arrives and what is included in the packing work. Identify fragile objects, items of unusual size, furniture requiring preparation, and contents that must remain accessible. Share photographs where the item or its construction is difficult to describe.
Label cartons by destination room and keep a separate essentials bag with keys, medications, documents, chargers and the items needed before unpacking. Avoid placing those essentials in a carton that could go into storage. Keep the working route clear and make sure materials can be staged in an area the building allows.
Use appropriate cartons for the contents rather than filling the largest available box. Books belong in compact book boxes; fragile kitchen contents need individual protection and suitable packing. If the inventory or packing scope changes, tell us before moving day so the work and materials can be reviewed.

Understand what changes the estimate
Local moves: estimated hours, not a fixed total
Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.
A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.
Long-distance flat rates: the same scope, the same price
For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.
Useful estimate information includes the inventory, origin and destination floors, carrying distances, elevator reservations, packing requirements and any requested storage. A short drive can still involve substantial handling when there are several flights, narrow turns or a distant lawful loading position.
Separate service charges from outside costs. Parking reservations, building deposits, access fees and other third-party charges should have a stated owner and basis. Ask which items appear in the estimate, which you pay directly, and what happens if the scope or access changes.
Compare estimates against the same shipment and work. A lower figure built around fewer belongings, customer packing or an assumed elevator is not equivalent to a broader plan. Resolve those differences before selecting an option and retain the written scope used for the decision.

Agree the route, sequence and protection
Dedicated long-distance moving
Our dedicated long-distance service uses a dedicated truck and delivery, with the same moving crew at pickup and drop-off. Confirm the pickup, delivery and any storage stages in your move plan. The survey and move-planning team performs a separate role from the crew carrying out the move.
Keep one current inventory, access and timing plan. Pickup and delivery windows must allow for the operations between them. Identify closing appointments, key handoffs and other dependencies.
Confirm who can approve a change and how that person will be reached. If a loading position or elevator becomes unavailable, the crew needs an authorized decision about an alternative, waiting or rescheduling. Record any agreed storage option and its availability rather than treating a contact number as a confirmed reservation.
Choose protection before the move
Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.
For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Choose dates with the street and building in view
Compare several dates that work for possession, building access and the household. The company’s broader scheduling experience with month-end and month-start moves is not a measured Richmond demand forecast or a promise of a lower midmonth price. Ask about availability for the actual inventory and route.
In winter, Richmond prioritizes major roads before local neighborhood streets. Its snow guidance also makes owners or occupants responsible for adjacent sidewalks: clear within six hours after snowfall stops, or by 11 a.m. the next day after overnight snow. A passable main road does not prove that the receiving steps, curb or driveway are ready.
Before a weather-sensitive move, assign inspection and clearing at both ends. Review current emergency restrictions and agree when a decision will be made if access becomes unsafe. A permit does not remove the need for a usable route on the day.

Keep decisions and access ready
Before loading begins, identify the belongings that travel, items staying behind and anything excluded from the agreed shipment. Keep building keys, parking documents and the manager’s contact information accessible. Arrange a clear place for children, pets and other household members away from the working route.
At delivery, the receiving contact should know the room labels and furniture positions. Point out restrictions before unloading starts, including areas that cannot be used for staging. A discovered narrow turn, newly locked gate or unavailable elevator should trigger a review of the route, not an improvised promise that every item will fit.
Plan disposal separately. Richmond’s bulk collection follows a recycling-week schedule, while certain apartments use private collection. Do not leave unwanted furniture or packing material at the curb simply because the truck is leaving. Agree any company unpacking or packaging-removal work as a defined service.

Basic furniture disassembly and reassembly use your moving labor time without a separate basic assembly fee. Moving blankets, shrink wrap and tape have no separate material charge. Boxes are charged separately. Complex furniture and specialist work receive individual quotes.
Can you unpack boxes and remove the packaging?
Furniture is unwrapped as part of delivery. We can also unpack the contents of boxes as optional work charged for time. Packaging and waste removal are charged separately; include the help you want in your request.
What if my new home is not available when expected?
Tell us the dependency before booking and discuss an available alternative. Define the decision cutoff, authorized contact, any storage or second handling, costs and when delivery can resume. A possible closing date is not confirmed possession.
Does an office move include technical reconnection?
Identify each required task in the written scope. Transportation of equipment does not automatically include IT setup, specialist installation, commissioning or testing; assign those tasks to the responsible provider.
