Measure the route through the building
Record the number of steps, the usable width of doors and the space available at every turn. Include the porch landing, interior stair, hallway and final room. Photograph the route in sequence, with clear views of railings, radiators and other fixed features. A photograph of the front facade cannot establish whether a long sofa will clear an upper landing.
In a multi-unit property, confirm which entrance belongs to the move and who controls it. Ask whether doors may be held open, how common floors must be protected and where a crew may stage belongings without obstructing another resident. Obtain permission before planning to remove a door or other fixture; any proposed change to a historic exterior needs the owner's review.
We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.
The agreed plan should identify who submits each request, who approves it and which City or building charges apply. An application is one step; the required access and time still need confirmation.

Springfield's street occupancy instructions specifically include moving and delivery trucks. They call for a Police Department request form, relevant departmental approvals, a DPW application, a liability certificate and payment of fees, with 72 hours allowed for processing. Establish who will apply and ask DPW which approvals and traffic arrangements fit the actual truck operation.
Provide the address, dates, expected loading time and space needed for the whole vehicle operation. Include the ramp or liftgate, pedestrian passage and any effect on a travel lane. Permission from the building owner does not settle public-street occupancy. A space that looks empty on a viewing day is not a reservation for the move.
The published fee materials need confirmation: the web schedule lists non-excavation at $25 per day, while the linked occupancy manual also lists a $75 application charge. Allocate a destination room to each carton and keep essential belongings separate. Medicines, keys, documents, chargers and items needed before the main unpacking should travel in a clearly identified personal bag. Do not bury the information needed for receiving the shipment among cartons that will be loaded first.
Use a suitable small carton for dense books and larger cartons for lighter contents such as linens. Make the estimate reflect the actual work
Local moves: estimated hours, not a fixed total
Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.
A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.
Long-distance flat rates: the same scope, the same price
For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.
The usable carrying route, inventory and agreed services matter more than a neighborhood label. Provide the floor, stair details, distance from the proposed truck position and any building time limit. Explain extra stops, storage, packing and specialist handling at the outset so they can be reviewed as part of the scope.
Keep public permit charges, possible police details and building charges visible as separate planning questions. A municipal fee table is not a moving-company quote. When comparing estimates, compare the inventory, services, timing assumptions and exclusions behind each one. Send material changes before the move rather than expecting the original estimate to cover a different access route or additional belongings automatically.

Our dedicated long-distance service uses a dedicated truck and delivery, with the same moving crew at pickup and drop-off. Confirm the pickup, delivery and any storage stages in your move plan. The survey and move-planning team performs a separate role from the crew carrying out the move.
Confirm the contact at pickup and delivery, the order of any stops and how a change in readiness will be communicated. If keys or an elevator reservation are delayed, tell the planning contact before the truck arrives. Discuss any storage or additional handling that an alternative would require and obtain the revised arrangements before authorizing it.

Choose protection before the move
Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.
For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Springfield's severe weather parking rules take effect when announced and remain until removed.
