Measure the route through the building

Record the number of steps, the usable width of doors and the space available at every turn. Include the porch landing, interior stair, hallway and final room. Photograph the route in sequence, with clear views of railings, radiators and other fixed features. A photograph of the front facade cannot establish whether a long sofa will clear an upper landing.

In a multi-unit property, confirm which entrance belongs to the move and who controls it. Ask whether doors may be held open, how common floors must be protected and where a crew may stage belongings without obstructing another resident. Obtain permission before planning to remove a door or other fixture; any proposed change to a historic exterior needs the owner's review.

We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.

The agreed plan should identify who submits each request, who approves it and which City or building charges apply. An application is one step; the required access and time still need confirmation.

Resolve Worcester truck space before confirming access

Begin with the street, proposed truck position, duration and space needed for the vehicle, ramp or liftgate. Worcester's on-street parking page describes long-term meter rentals for construction workers. A paid parking session or residential permit does not by itself reserve space for a household move.

The linked Park Worcester meter-rental form accepts project location, dates and the number of meters. It says requests are reviewed and applicants contacted within one to two business days. Ask whether this process applies to your particular move, what permission is needed and when approved signs or other controls can take effect. That review interval is not a guarantee of approval or a moving-permit deadline.

For an operation affecting the street or sidewalk, contact Worcester 311 and ask for DPW Engineering's direction. The Engineering division administers right-of-way permits. Explain whether the proposal is an ordinary truck stop, a lane or sidewalk obstruction, or a container that will remain after the truck leaves. These are different arrangements and may need different conditions.

Allocate a destination room to each carton and keep essential belongings separate. Medicines, keys, documents, chargers and items needed before the main unpacking should travel in a clearly identified personal bag. Do not bury the information needed for receiving the shipment among cartons that will be loaded first.

Use a suitable small carton for dense books and larger cartons for lighter contents such as linens. Make the estimate reflect the actual work

Local moves: estimated hours, not a fixed total

Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.

A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.

Long-distance flat rates: the same scope, the same price

For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.

The usable carrying route, inventory and agreed services matter more than a neighborhood label. Provide the floor, stair details, distance from the proposed truck position and any building time limit. Explain extra stops, storage, packing and specialist handling at the outset so they can be reviewed as part of the scope.

Keep public permit charges, possible police details and building charges visible as separate planning questions. A municipal fee table is not a moving-company quote. When comparing estimates, compare the inventory, services, timing assumptions and exclusions behind each one. Send material changes before the move rather than expecting the original estimate to cover a different access route or additional belongings automatically.

Agree the sequence and protection arrangements

Dedicated long-distance moving

Our dedicated long-distance service uses a dedicated truck and delivery, with the same moving crew at pickup and drop-off. Confirm the pickup, delivery and any storage stages in your move plan. The survey and move-planning team performs a separate role from the crew carrying out the move.

Confirm the contact at pickup and delivery, the order of any stops and how a change in readiness will be communicated. If keys or an elevator reservation are delayed, tell the planning contact before the truck arrives. Discuss any storage or additional handling that an alternative would require and obtain the revised arrangements before authorizing it.

For an interstate move, review FMCSA consumer guidance alongside the mover's written documents. Keep the inventory, estimate and agreed service details available, and ask about any term you do not understand before signing.

Choose protection before the move

Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.

For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Account for winter rules and the final approach

Worcester has two kinds of winter parking ban. The permanent category applies December 1 through April 30 on designated streets, restricting one or both sides from 2 a.m. to 6 a.m. and whenever a snow emergency is declared. Declared bans cover other streets when accumulating snow is forecast. Check the exact street and current announcement through Worcester 311.

The sidewalk, private walk, porch steps and landing all need to be usable when the crew arrives. Assign someone to check conditions and clearing responsibilities, including any sloping approach. A public-street permission does not remove a weather restriction, and an apparently cleared road may still have a snowbank at the receiving entrance.

If your move involves a campus residence or a building with seasonal turnover, use its actual check-in instructions. Do not assume that a university calendar grants access to a private rental or that a street space will be available on a busy arrival day. Recheck the agreed route and receiving contact close to the move.

Walk the route with the receiving contact before unloading begins. Point out the rooms, any item that needs particular handling and anything excluded from the move. Keep children, pets and visitors away from the carrying path. Have keys and entry instructions available without posting private access codes in shared paperwork.

Confirm that the truck arrangement matches the authorization and that common entrances remain usable. If an obstruction or changed building rule prevents the agreed method, stop to resolve the change with the responsible people. At delivery, check room placement while the crew is still present, retain the agreed documents and complete a final walk-through for belongings or equipment that may have been missed.

Can you unpack boxes and remove the packaging?

Furniture is unwrapped as part of delivery. We can also unpack the contents of boxes as optional work charged for time. Packaging and waste removal are charged separately; include the help you want in your request.

How should unwanted furniture be handled?

Arrange an accepted disposal or donation route separately and confirm the collection date. City resident drop-off conditions do not automatically allow a moving-company vehicle. Keep removal distinct from the agreed moving inventory.

What happens if keys or the receiving entrance are delayed?
