Give the business a workable receiving sequence
For an office, shop or other workplace, identify which rooms and equipment must be usable first. Separate furniture and stock from records or systems needing their own responsible person. Label destinations before the shipment leaves so unloading does not depend on finding a manager for every item.
Confirm the delivery entrance, freight lift or stairs, security arrangements and any restricted window. A shop's customer entrance may be unsuitable for receiving furniture, while a rear entrance may share a passage with neighboring businesses. Agree who can authorize access and how customers or staff will circulate while the work takes place.
Keep shutdown, data handling and reconnection with the people responsible for those systems. If the business continues operating during the move, describe which spaces remain occupied and when each area can be released. Tell us about any waste removal or storage you want included instead of assuming it follows automatically.
IT transport and disconnection are available; arrange reconnection and system startup with your IT team. Crane work is outside our service scope.

Measure every part of the carrying route
Walk from the proposed truck position to the final room. Record changes of level, porch steps, door clearances, stair turns and low ceilings. For an apartment, include shared halls and the usable interior of the lift. For a house, include side gates, exterior steps and the landing beyond each door.
Ask the owner or manager which entrance is approved and whether a booking, insurance document or protective covering is required. Establish who supplies keys and who will be present.
Match large pieces to the route before deciding on disassembly. Photograph a tight turn from both directions and measure its usable space. Report unfinished work, loose surfaces or obstructions early enough to agree a different approach. Do not plan to carry furniture through another property or block a shared exit without authorization.
We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.
The agreed plan should identify who submits each request, who approves it and which City or building charges apply. An application is one step; the required access and time still need confirmation.

Arrange the truck space before arrival
For a move inside City limits, Public Works provides a temporary parking-sign process expressly covering moving vans and large deliveries. The City approves the dates, times and number of spaces before signs are posted. Begin with the Temporary No Parking instructions; a resident parking permit does not reserve the truck's loading position.
The posted instructions call for notifying nearby residents or businesses, collecting City signs, and installing them 24–36 hours before the approved start. Signs currently cost $1 each. Allow additional time for the application and pickup: that posting window is not a promised approval turnaround.
The linked application and posting instructions also require calling Police non-emergency at 540-373-3122, option 2, when signs are installed. Keep the dispatcher event ID with the permit information in case a vehicle occupies the reserved space. Assign responsibility for notice, posting, registration and removal.
If the operation would close a sidewalk, extend a ramp into public space or place a container in the right-of-way, ask Public Works which additional approval fits the actual footprint. Parking signs alone do not settle those questions. Share the authorized position and any conditions with the mover; keep an approved alternative available if access changes.

Prepare the contents for the next stage
Choose packing help room by room. Separate books, linens, fragile objects and items needing individual review. Keep passports, medication, keys, essential chargers and school or utility documents with you. Label boxes for the receiving room so placement does not depend on opening each one.
Show items that need special preparation before moving day. A large piece may require disassembly, but that decision should follow the actual item and route. Packing a room also includes leaving a clear working area and agreeing what remains in use until departure.

Give the estimate the information it needs
Local moves: estimated hours, not a fixed total
Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.
A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.
Long-distance flat rates: the same scope, the same price
For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.
Use the same inventory and service scope when comparing estimates. Include packing, stairs, basement or attic items, long carrying distances, lift windows and furniture needing a separate handling plan. The price of a home or the number of bedrooms does not describe that work.
Identify storage, special handling and any property or street charges separately. Tell us what remains uncertain: a closing date, a shared entrance, an inactive utility or an unconfirmed loading arrangement. These conditions can affect the sequence even when the shipment itself stays the same.
If the inventory or access changes, update the written scope before the move. Keep the person authorized to approve additional work reachable. A useful estimate makes its assumptions clear enough for both sides to recognize when they have changed.

Review the scope, dates and protection choices
Dedicated long-distance moving
Our dedicated long-distance service uses a dedicated truck and delivery, with the same moving crew at pickup and drop-off. Confirm the pickup, delivery and any storage stages in your move plan. The survey and move-planning team performs a separate role from the crew carrying out the move.
Use the estimate review to confirm the addresses, inventory, packing responsibilities, access assumptions and people receiving the shipment. Keep written changes with the moving documents. If the home is not ready, contact the mover before loading to discuss an achievable alternative.
For an interstate move, use the FMCSA consumer guidance to understand the documents and questions to ask. Review protection choices and disclose high-value items in advance. The terms of the selected arrangement, rather than an informal description of coverage, govern the shipment.
Choose protection before the move
Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.
For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Prepare the approach for the actual conditions
Check the entrance shortly before the move and again before the vehicle arrives. Rain, wet leaves or ice can change a carrying route that was clear at the estimate. Arrange who will deal with steps, the landing and the walk to the loading position; a cleared street does not establish that the private approach is usable.
The City's snow and ice instructions assign adjacent sidewalk and accessible-ramp clearance to the owner or occupant. The normal deadline is 12 hours after snow ends or ice forms, with a noon-next-day rule when it occurs at night or on Sunday. City plowing does not include alleys.
Coordinate clearance with the property manager or owner and keep the agreed route available. Do not put snow into the roadway or rely on an estimated plow arrival. If the route remains unusable, contact the mover and receiving contact before loading to decide whether the plan or delivery time must change.

Keep the route and receiving decisions connected
Before loading starts, identify the belongings traveling with you, the boxes needed first and anything excluded from the shipment. Keep keys, identification, essential medication and important household records outside the moving load. Check that the person receiving the shipment can be reached throughout the agreed window.
At the destination, confirm that the entrance is open, the approved loading position is available and the route remains clear. Show room labels or a simple placement plan. Keep children, pets and ordinary household traffic away from the carrying path, with one receiving contact responsible for placement questions.
Review the shipment and agreed work before the crew leaves, using the moving documents and the selected protection arrangement. Point out concerns promptly and retain relevant records. Cartons and protective materials need their own agreed removal plan; municipal trash collection is not a substitute for a confirmed unpacking or disposal service.
If keys, permission or the receiving rooms are unavailable, use the contingency already discussed. Name who can authorize a later window or storage and confirm the costs and extra handling before changing the plan. The household also needs somewhere practical to wait while delivery is reorganized.

Let the scope determine the survey
A clear item list may be enough for a small, straightforward job. More belongings, full packing, specialist items or restricted access can call for a video review or an in-person visit. Floor area helps describe the property, but the contents and work matter too.
Start by sending what you know. Our move-planning team will recommend the right level of review so the estimate reflects the job. You do not need to choose a survey method or work out every measurement before contacting us.
The survey helps us choose staffing, time and preparation for the actual job. The person reviewing your move is not necessarily part of the moving crew.
Include photographs of both entrances and the largest pieces, the inventory, building instructions and proposed truck positions. Say what is confirmed and what depends on someone else's decision. A requested utility date or permit application is not yet confirmation.
For Plan B, name the trigger, decision time and person authorized to approve a change. Confirm a later access window, lawful alternative loading position or actual storage availability before relying on it. Account for extra handling or waiting, temporary arrangements for people and pets, and the condition needed to resume delivery. Bring these questions into the estimate discussion while the alternatives remain available.

No. Discuss the exact vehicle, ramp, container and pedestrian footprint with Public Works. The temporary parking process and right-of-way or closure approvals address different uses.
What if the new property is not ready?
Contact the mover before loading where possible. Confirm the decision deadline, authorized person, an achievable alternative such as revised delivery or storage, and the related costs and extra handling. Arrange a separate plan for the household while access is resolved.
