Plan the workplace move through to receiving
For an office, shop or other workplace, list the shipment and the work needed before and after transport. Desks, stock, files, displays and equipment may need different packing, destination labels and delivery order. Separate the moving work from technical disconnection, installation and restarting systems.
Assign a person at each address who can release access and answer questions. Confirm the actual delivery entrance: a public storefront or campus mailing address may lead to a different door from the one authorized for receiving. Explain any security check, building certificate, lift reservation or union requirement before scheduling.
If the business stays open, identify the customer and staff routes that must remain usable. Agree how inventory will be separated from active work areas, which departments go first and what must remain accessible until the last stage. A delivery window should allow the agreed work, not simply the truck’s arrival.

Follow the full route from curb to room
Record the route in order: truck position, public sidewalk, private walk, steps, landing, doorway, corridor and final room. Include the narrowest turn, not only the largest door. Measure with doors in their usable positions, and show rails, low ceilings and any change in level.
In an older Youngstown house, a generous porch or tall front window does not establish interior clearance. The city’s truck-parking rule distinguishes loading and unloading from leaving a truck on the street for another purpose, and prohibits parking an unattached trailer on a city street. It does not reserve a space outside the property.
For a metered position, a reservation request or a plan affecting the sidewalk or traffic, start with Traffic Engineering at 330-742-8890. Give the exact frontage, date, hours, vehicle dimensions and the space needed. Ask which approval applies, who arranges temporary controls, what notice and payment are required and how approval will be confirmed.
The department publishes separate block-party and oversize-load processes. Its special-hauling form is not a general reservation for a household move. Likewise, the street-cut permit concerns excavation; its 48-hour requirement should not be treated as a universal moving deadline.
Confirm the position before promising it to the mover. A driveway owner can authorize private access but cannot promise a public parking space. Separate everyday essentials, personal documents and items you will carry from the shipment. Identify books, fragile kitchenware, artwork, mirrors and furniture needing special preparation. Use cartons suited to the contents rather than filling one large box with heavy books.

Give the estimate the information it needs
Local moves: estimated hours, not a fixed total
Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.
A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.
Long-distance flat rates: the same scope, the same price
For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.
Use the same inventory and service scope when comparing estimates. Include packing, stairs, basement or attic items, long carrying distances, lift windows and furniture needing a separate handling plan. The price of a home or the number of bedrooms does not describe that work.
Identify storage, special handling and any property or street charges separately. Tell us what remains uncertain: a closing date, a shared entrance, an inactive utility or an unconfirmed loading arrangement. These conditions can affect the sequence even when the shipment itself stays the same.
If the inventory or access changes, update the written scope before the move. Keep the person authorized to approve additional work reachable. A useful estimate makes its assumptions clear enough for both sides to recognize when they have changed.

Our dedicated long-distance service uses a dedicated truck and delivery, with the same moving crew at pickup and drop-off. Confirm the pickup, delivery and any storage stages in your move plan. The survey and move-planning team performs a separate role from the crew carrying out the move.
Use the estimate review to confirm the addresses, inventory, packing responsibilities, access assumptions and people receiving the shipment. Keep written changes with the moving documents. If the home is not ready, contact the mover before loading to discuss an achievable alternative.
For an interstate move, use the FMCSA consumer guidance to understand the documents and questions to ask. Review protection choices and disclose high-value items in advance. The terms of the selected arrangement, rather than an informal description of coverage, govern the shipment.
Choose protection before the move
Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.
For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Check the street and private approach again
Use the city’s snow and street guidance and current notices for the actual move date. The published operational description still carries a 2024–25 label; it is not a promise about the current fleet or the time a particular street will be cleared. A declared snow emergency can change street parking.
Assign someone to check the private walk, steps and landing before arrival. Keep doors and the carrying route clear in rain, ice or snow. A cleared main road does not establish a usable driveway or receiving entrance.
For university-related housing or delivery, identify the exact building and receiving contact. The Youngstown State campus map and directions are a starting point; a visitor parking space does not authorize a moving truck at a residence entrance.
Explain date flexibility early. If weather or possession prevents receiving, agree who decides, when an alternative must be secured and where the household and belongings can go while access is restored.

Let the scope determine the survey
