Plan the business handover

For an office, shop or professional suite, begin with what must be working first at the destination. Group workstations by team, identify records that stay with your staff and mark equipment that needs its own specialist. Confirm who disconnects and reconnects equipment; a furniture move does not automatically include technical installation.

Ask both property managers about receiving hours, shared loading space, elevators, floor protection and contractor requirements. An apparently empty parking lot can still have restrictions. Name a person at each end who can resolve access or placement questions, and agree the sequence around your operating hours.

IT transport and disconnection are available; arrange reconnection and system startup with your IT team. Crane work is outside our service scope.

We can also quote island moves, recycling, move-out cleaning and car shipping. For an island destination, provide the exact address so the vehicle or freight crossing, receiving arrangements and final delivery can be reviewed together.

Follow the route out of every room

Include the basement, garage and any outbuilding in the walkthrough. A bulky item may fit the front door but fail at the stair turn that comes before it. Measure low ceilings, narrow openings and the usable width beside a handrail. Show any proposed bulkhead entrance with the doors open, including the steps and the landing below.

Outside, photograph the driveway from the road and from the house. Point out grades, tight turns, overhead branches, soft edges and surfaces whose load capacity needs checking. A paved surface alone does not establish that it can take a loaded truck. Review the actual vehicle position and the carrying route with the planner.

If the property will be empty before the move, arrange a person who can open it and confirm essential services. Obtain permission for any change to a door or fixture before treating it as part of the route.

We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.

The agreed plan should identify who submits each request, who approves it and which municipal or building charges apply. An application is one step; the required access and time still need confirmation.

Confirm the space for the vehicle

A suitable private drive can simplify loading, provided the vehicle fits and can leave safely. Allow working room at the doors and keep any shared access available. If it will not work, review another arrangement before moving day, including permission to use the proposed space.

Scarborough’s Traffic Ordinance distinguishes parking from active loading and includes specific vehicle-length, street and time restrictions. Include the storage spaces in the packing plan

A garage shelf can be easy to overlook until the last evening. Review tools, sports equipment, garden items and the contents of lower rooms alongside the kitchen and bedrooms. Ask about preparation and transport restrictions for fuel, chemicals, batteries and equipment before packing them.

Keep one clear decision for each group: move it, leave it by agreement or arrange its removal. Separate items that are still being sold or donated so they are not packed by mistake. For selected packing help, mark the cupboards or objects included and leave the agreed work area accessible.

Understand what changes the estimate

Local moves: estimated hours, not a fixed total

Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.

A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.

Long-distance flat rates: the same scope, the same price

For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.

The working time depends on the amount being moved and how the crew can handle it. Extra carrying distance, stairs, a restrictive entrance, disassembly, selected packing and an additional stop can each change the plan. Explain these conditions before comparing estimates with different scopes.

Unwanted furniture is a separate decision. Scarborough’s bulky-waste information lists regional disposal facilities with charges; check acceptance and current fees before arranging a load. If you want removal included in the moving work, identify the items and agree that scope and charge explicitly.

Agree the stages and protection

Direct and consolidated long-distance moving

Our direct long-distance service uses a dedicated truck and the same moving crew at pickup and delivery. For a suitable small shipment, ask about consolidated delivery with a wider agreed receiving window. We serve destinations throughout the United States and Canada. Confirm pickup, delivery and any storage stages in the written move plan. The planning team performs a separate role from the moving crew.

Read the written scope for what is packed, collected, stored and delivered. Check the planned access at both ends and identify any work another contractor must finish first. Tell the planner promptly if the inventory, address or timing changes so the agreement can be reviewed.

Choose protection before the move

Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.

For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Valuation is the mover’s level of liability; it is different from a separate insurance policy. Review the FMCSA explanation of liability and protection and the terms for your particular move.

Make a date plan that can adapt

For a winter move, arrange snow clearance and treatment along the full working route before the crew arrives. Check current town notices near the date; an emergency parking ban can affect a street-based arrangement. If conditions change, contact the planner before the vehicle is sent to a space it cannot use.

In summer, review access to beach-area properties against the date and location. A recreation parking pass is not confirmation of a place to load a moving vehicle. Obtain the instructions for the actual property and vehicle.

Our experience is that moving demand is heavier in summer and around the end and beginning of a month, with another busy period in the middle. Discuss your preferred date early and mention any flexibility. An alternative date, waiting arrangement or storage stage needs to be agreed; it is not automatically reserved with the original booking.

Keep the handover clear

Keep documents, medication, chargers and immediate household essentials with you. Mark anything that must stay, and leave the agreed working route clear. Arrange a separate place for children and pets during loading so you can give attention to the walkthrough.

Show the crew lead the entrances, room labels and any change since the estimate. For a larger piece, confirm the route and handling method before the carry begins. At delivery, identify the furniture positions and review the agreed work before the crew leaves.

If the keys are delayed, call the planner as soon as you know. Confirm what happens to the shipment while access is resolved and keep your overnight essentials independent of it. The arrival checklist helps organize the receiving side.

Questions before you move

Can you help with only part of the packing?

Yes. Identify the items or rooms you want packed and what you will prepare yourself so the materials and working time can be included in the estimate.

What if the truck cannot use the driveway?

Send photographs and explain the constraint before the move. The planner needs to review a feasible alternative, any permission required and its effect on the work.

Do you move belongings from a cellar or workshop?

Include them in the inventory and show their full route out. Heavy or specialist items need their own review before the scope is confirmed.

Are blankets, shrink wrap and basic tape extra?

Basic furniture disassembly and reassembly use your moving labor time without a separate basic assembly fee. Moving blankets, shrink wrap and tape have no separate material charge. Boxes are charged separately. Complex furniture and specialist work receive individual quotes.

Does delivery include unpacking the boxes?

Furniture is unwrapped as part of delivery. We can also unpack the contents of boxes as optional work charged for time. Packaging and waste removal are charged separately; include the help you want in your request.

Can unwanted furniture be included in the move-out work?

Identify it separately and request removal in the scope. Confirm the handling and disposal charge before the day; it is not included merely because an item is left beside the shipment.

What if the closing date changes?

Contact the planner promptly to agree a revised arrangement. Ask about waiting, rescheduling or storage and keep your immediate essentials with you.

Can I add items after receiving the estimate?

Send the additions before moving day. Changed inventory or work needs review and an updated written agreement as applicable.
