Photograph the largest furniture, the approach from the road, driveway entrance, every step and the route through the building. Include height restrictions, tight turns, stair landings and the narrowest door with its usable opening. List items requiring particular care by dimensions and construction, not just by room name. A video review can reveal an awkward turn that a floor-area figure misses.
Tell the planning team which details are confirmed and which are still being checked. Give the receiving contact, the key-release condition and any hours imposed by the property. Resolve a vehicle or handling question before treating a proposed date as a complete plan.

Agree the vehicle approach and standing position
Oxford has street-specific restrictions. The village traffic schedules list one-way directions around Fort Hill Park and LaFayette Park, five-ton limits on listed streets or segments, parking prohibitions and time limits. The truck provision includes an exception for pickup and delivery of materials on those streets. Share the exact address and approach so the driver can review the applicable route and exception; it is not a general permission to use every street.
The village also publishes a November 1–April 30 street-parking restriction from 3 a.m. to 6 a.m. Plan the work outside that restriction and check current signs, emergency changes and the actual stopping position with the village. Ask about the street, side, vehicle and time, rather than asking whether moving trucks are generally allowed.
If the preferred position is unavailable, agree a permitted private driveway or yard with the property owner and confirm its load capacity and clearances. Have the moving team review the carry distance and any smaller-vehicle transfer before departure, including revised time and price. If neither route is safe and authorized, move the delivery window or arrange agreed storage. Keep the exit, pedestrians and emergency access clear.

Plan the carry route through the property

The agreed plan should identify who submits each request, who approves it and which municipal or building charges apply. An application is one step; the required access and time still need confirmation.

Tell us which tasks you want completed and which materials you need. Your estimate should distinguish moving labor, boxes, specialist work and removal charges.
Set aside the belongings that stay with you before packing begins: keys, identification, medication, chargers, private records and first-night supplies. Mark the destination room and contents on cartons; put dense books in manageable boxes and keep fragile groups clearly identified. Explain an item that must remain upright or has loose parts.
For partial packing, make a short list of the rooms and categories we handle and the ones you finish. For a kitchen, leave clean, dry contents ready for packing and separate items you need until departure. Understand the estimate and its assumptions
Local moves: estimated hours, not a fixed total
Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.
A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.
Long-distance flat rates: the same scope, the same price
For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.
Ask the written estimate to distinguish labor, travel, packing work, cartons, storage and separately agreed services. Keep a dated inventory and access description with it. If the shipment changes, a receiving entrance closes or an extra stop is added, tell the planning team before collection. Compare quotations against the same belongings, addresses and work so an omitted service does not look like a saving.

Direct and consolidated long-distance moving
Our direct long-distance service uses a dedicated truck and the same moving crew at pickup and delivery. For a suitable small shipment, ask about consolidated delivery with a wider agreed receiving window. We serve destinations throughout the United States and Canada. Confirm pickup, delivery and any storage stages in the written move plan. The planning team performs a separate role from the moving crew.
Confirm the person who releases keys and the person who receives the shipment. Keep both contacts available, arrange pets and children away from the handling route, and give one decision-maker responsibility for room placement. Check essential heat, light and water before sending a load to an unoccupied home.
At delivery, use a simple room plan and check the inventory as items arrive. Note a condition concern with the team while the item is visible. Keep small parts together, confirm agreed furniture placement and leave the path to the next item clear. Optional carton unpacking and packaging removal should be included explicitly if wanted.

Prepare for a gap between homes
If closing, renovation or key handover is uncertain, choose the decision point before collection. Agree who can authorize storage, when the planning team must be informed and how redelivery will be priced and scheduled. Keep essentials and any documents needed to complete the transaction outside the shipment.
For storage, decide whether you need access to particular items and ask about the actual storage arrangement, notice period, item restrictions and conditions. Make a separate inventory for a later delivery rather than assuming every box will be accessible. A storage plan prevents an unavailable address from becoming an improvised truck waiting area.

Keep a business move tied to an opening plan
Identify the rooms, workstations, stock and equipment moving in each phase. Confirm who controls access at both buildings and who is responsible for disconnecting, configuring and testing IT or machinery. Label by receiving position and protect records according to your own handling requirements.
Agree any evening, weekend or phased work against the building hours and the receiving business schedule. Inspect the loading and carry route for the chosen vehicle before deciding when normal operations can resume. A transport completion time alone does not prove that a workplace is ready to reopen.
IT transport and disconnection are available; arrange reconnection and system startup with your IT team. Crane work is outside our service scope.

Review protection and the final checklist
Choose protection before the move
Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.
For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Valuation is the mover’s level of liability; it is different from a separate insurance policy. Review the FMCSA explanation of liability and protection and the terms for your particular move.

Which basic packing materials are included?
Basic furniture disassembly and reassembly use your moving labor time without a separate basic assembly fee. Moving blankets, shrink wrap and tape have no separate material charge. Boxes are charged separately. Complex furniture and specialist work receive individual quotes.
Can you unpack the delivery?
Furniture is unwrapped as part of delivery. We can also unpack the contents of boxes as optional work charged for time. Packaging and waste removal are charged separately; include the help you want in your request.
Is the local estimate a fixed finish time?
Local estimates communicate expected labor and assumptions; a minimum is not a completion cap. Confirm the pricing model in writing and report inventory, access or timing changes before the move.
Can I wait to confirm keys until the truck arrives?
Set a key-readiness deadline and an authorized receiving contact beforehand. If handover remains uncertain, agree the delay or storage decision and its costs before collection.
