For a campus or military-related move, also obtain the housing office’s current delivery instructions. Access authorization, identification and a delivery appointment can be separate from booking a mover; tell the planner what the responsible office requires.

Sequence a business move around what must keep working
For a shop, office or other business, decide what has to operate first at the new location. A staged move may separate the essential desks and equipment from stock, archives or fixtures that can follow later. Label destinations by room or work area, and identify equipment that needs specialist disconnection or installation.
Check the actual receiving entrance, shared yard, delivery hours and any landlord arrangements. A storefront address near the harbor can have a very different working entrance behind it. Photos of that route are more useful than a photograph of the shopfront alone.
IT transport and disconnection are available; arrange reconnection and system startup with your IT team. Crane work is outside our service scope.

Follow the furniture route through the building
Look at the connections between spaces: the porch to the doorway, the hallway to the stair, and the stair landing to the final room. A wide door does not solve a tight turn just beyond it. Record the narrow points and show the largest items with their dimensions; the planner can review whether disassembly or another approach belongs in the scope.
In an older property, point out trim, banisters, thresholds and fragile finishes that need care. In a shared building, identify which areas remain in use by neighbors while the move is underway. Do not remove a fixed door or railing before agreeing permission and responsibility for the work.
We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.
The agreed plan should identify who submits each request, who approves it and which municipal or building charges apply. An application is one step; the required access and time still need confirmation.

Arrange a specific place for the moving vehicle
Check the proposed vehicle position with the property owner and the authority responsible for the street. Give them the address, vehicle size, working hours and any space needed for loading. Photograph the signs and the approach. A household parking permit should not be treated as a reservation for a moving truck.
The city’s 2026 parking eligibility guide includes temporary permits for contractors and service vehicles, subject to demonstrated need and city approval. Ask the Parking Department at (401) 845-5401 which arrangement applies to your move. Approval of a permit is not a guarantee that the vehicle will physically fit.
Once the position is confirmed, include the carrying distance and any restrictions in the estimate. If the original space becomes unavailable, contact the planner before relying on another curb or yard.

Choose what to pack and what to leave accessible
Separate the belongings you are taking from items being sold, donated or removed. Then decide whether you want full packing or help with particular contents. Books, lamps, dishes, pictures and hanging clothes need different preparation; show fragile and awkward pieces during the review.
Keep the things needed during the handover apart from the shipment: keys, documents, medication, chargers and a change of clothes. If part of the load is going into storage, label it separately so something needed that first evening does not travel with it.

Understand what changes the estimate
Local moves: estimated hours, not a fixed total
Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.
A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.
Long-distance flat rates: the same scope, the same price
For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.
The estimate needs to reflect the actual amount of work. Stairs, turns, a longer carry, packing and a storage stage can change that work even when the distance between the properties is short. An accurate room-by-room inventory and clear access information help avoid a mismatch between the plan and moving day.
Before comparing estimates, check that they cover the same tasks, materials and destinations. Tell the planner when the inventory, property access or dates change, and ask how the written estimate is affected.

Agree the handover and delivery arrangements
Direct and consolidated long-distance moving
Our direct long-distance service uses a dedicated truck and the same moving crew at pickup and delivery. For a suitable small shipment, ask about consolidated delivery with a wider agreed receiving window. We serve destinations throughout the United States and Canada. Confirm pickup, delivery and any storage stages in the written move plan. The planning team performs a separate role from the moving crew.
Confirm who can release the old property and who can admit the crew at the destination. If a closing, lease or housing handover could slip, decide what you would need while waiting and ask about suitable storage or revised delivery arrangements before the original date.
Keep one copy of the agreed scope and the contacts for both properties. On arrival, walk through room placement and point out anything that needs attention before unloading starts.
Choose protection before the move
Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.
For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Check the conditions for your actual date
A summer visit does not tell you what a particular moving day will be like. Check events, street work and the property’s delivery calendar for that date. A campus deadline or a seasonal lease can matter to your household without describing every Newport move.

Can I arrange a move within Newport or off the island?

Can you unpack boxes and remove packaging?
Furniture is unwrapped as part of delivery. We can also unpack the contents of boxes as optional work charged for time. Packaging and waste removal are charged separately; include the help you want in your request.
Can unwanted furniture be handled with the move?
Identify it separately during the estimate. Removal is a separate task; if you use a municipal or private pickup instead, confirm the accepted items, appointment and charges before setting anything out.
