A Providence move might lead to a converted house with a shared stair, an apartment in a downtown building or a home reached by a sloping private walk. The neighborhood name does not describe the receiving route. Identify the actual unit, authorized entrance and final rooms before choosing how to prepare the shipment.
Make an inventory that includes basement storage, upper floors and pieces kept elsewhere. Keep the workplace operating through the move
For an office, shop or other workplace, define which furniture, records, inventory and equipment are moving and which must remain available until the final stage. Label by receiving department or room. Keep technical shutdown, data handling and reconnection responsibilities separate from the physical shipment.
Confirm the service entrance and receiving contact. A downtown street address may lead customers to a different door from the delivery route. Record dock dimensions, security procedures, any freight lift, loading hours and the documents the property manager requires.
If the business stays open, agree a route that preserves customer and staff access. Identify who can authorize a change if a lift fails or the receiving room is unavailable. A staged move needs a real sequence and receiving team, not simply several dates on a calendar.
IT transport and disconnection are available; arrange reconnection and system startup with your IT team. Crane work is outside our service scope.

Measure the complete carrying route
Walk from the proposed truck position to the room where each large piece will finish. Include the sidewalk, private walk, steps, porch, doors, hallway, lift and stair landings. Measure the narrowest turn with doors in their usable positions and photograph changes in level.
In a converted house, check the unit entrance as well as the main door. A broad front porch can lead to a tight interior turn, and a second entrance may be reserved for another resident. Ask the owner which route is authorized and who will clear it before the crew arrives.
For an apartment or workplace, check every lift in the route, including a separate transfer between buildings or levels. Confirm whether access is shared, whether a lift must be reserved and which person releases it. Ask about protection, COI wording, any union requirements and the basis of building charges; these are property questions, not citywide promises.
A short window needs preparation outside the carrying period where the property permits it. Agree when packing materials, labels and protection can be prepared, then keep the actual move within the approved window. Loading and unloading appointments need a workable sequence with travel between them.
We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.
The agreed plan should identify who submits each request, who approves it and which City or building charges apply. An application is one step; the required access and time still need confirmation.

Reserve the right kind of street access
Providence distinguishes time-limit relief from a reserved loading space. Its parking guidance says Temporary Parking Privileges allow daytime parking beyond ordinary time limits but do not reserve a particular space or authorize overnight parking. For a moving van needing a reserved position, the city directs applicants to an Emergency No Parking Tow Zone through Traffic Engineering.
The Traffic Permit application instructions require approval and say applications are not accepted less than two business days before the requested start. Providence Traffic Engineering alone posts the official emergency no-parking signs. More than one street requires a permit for each street. Start early enough for review, posting and any changes.
Give the responsible applicant the street, requested dates and hours, proposed loading length and whether a meter, sidewalk or travel lane is affected. Closing a sidewalk or occupying other public space can introduce additional requirements. The portal's fee descriptions are inconsistent, so have Traffic Engineering confirm the applicable charges with the approval instead of treating an online example as the final price.
Keep the permit and building instructions available. If the approved space is unavailable, contact the responsible authority and moving contact before changing the plan. A different curb position or longer carry needs a lawful arrangement and a review of the work. The guide's street-access procedure separates reserved space, ordinary parking and moving pods.

Match the preparation to the contents
Separate everyday essentials, personal documents and items you will carry from the shipment. Identify books, fragile kitchenware, artwork, mirrors and furniture needing special preparation. Use cartons suited to the contents rather than filling one large box with heavy books.
Tell us which rooms or items you want packed and what will already be ready. Label destination rooms consistently, keep a list of special pieces and leave a clear route through the property. If packing and delivery occur on different days, agree what must remain available between them.

Give the estimate the information it needs
Local moves: estimated hours, not a fixed total
Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.
A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.
Long-distance flat rates: the same scope, the same price
For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.
Use the same inventory and service scope when comparing estimates. Include packing, stairs, basement or attic items, long carrying distances, lift windows and furniture needing a separate handling plan. The price of a home or the number of bedrooms does not describe that work.
Identify storage, special handling and any property or street charges separately. Tell us what remains uncertain: a closing date, a shared entrance, an inactive utility or an unconfirmed loading arrangement. These conditions can affect the sequence even when the shipment itself stays the same.
If the inventory or access changes, update the written scope before the move. Keep the person authorized to approve additional work reachable. A useful estimate makes its assumptions clear enough for both sides to recognize when they have changed.

Review the scope, dates and protection choices
Dedicated long-distance moving
Our dedicated long-distance service uses a dedicated truck and delivery, with the same moving crew at pickup and drop-off. Confirm the pickup, delivery and any storage stages in your move plan. The survey and move-planning team performs a separate role from the crew carrying out the move.
Use the estimate review to confirm the addresses, inventory, packing responsibilities, access assumptions and people receiving the shipment. Keep written changes with the moving documents. If the home is not ready, contact the mover before loading to discuss an achievable alternative.
For an interstate move, use the FMCSA consumer guidance to understand the documents and questions to ask. Review protection choices and disclose high-value items in advance. The terms of the selected arrangement, rather than an informal description of coverage, govern the shipment.
Choose protection before the move
Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.
For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Valuation is the mover’s level of liability; it is different from a separate insurance policy. Review the FMCSA explanation of liability and protection and the terms for your particular move.

Plan around the conditions on the actual date
A winter delivery depends on the street and the private approach. Providence's snow guidance assigns sidewalk clearing to homeowners and business owners and provides parking-ban information. Confirm who clears and treats the path, when that work will be done and who checks it shortly before delivery.
Street access can change after a permit application or building booking. Check current restrictions and the property's instructions close to the date. If a declared restriction affects loading, resolve the alternative before the truck reaches the street.
If keys, safe access or an approved loading position remain unresolved, set a decision time while another window or storage option is still available. Confirm the alternative and its costs; a phone number for a facility is not a storage reservation.

Keep access, people and belongings coordinated
Review the inventory, items staying behind and destination room labels before loading. Keep personal documents, medication and first-night essentials with your household.
At the receiving address, confirm that the authorized door opens, the agreed lift works and the carrying route is clear. Keep children, pets, visitors and other residents away from the active route without blocking their required exits. Have someone available to answer placement questions and approve any change.
If a large piece will not pass through the agreed route, pause to review the options before trying another entrance. Do not assume a neighboring property, shared passage or exterior opening is available. Additional preparation or handling needs a suitable plan and authorization.
At the end, review placement and the agreed work before access closes. Keep any follow-up in writing and separate moving packaging from furniture or mattresses intended for disposal. Municipal collection and building waste arrangements may require a separate booking.

Prepare the request and a practical fallback
Let the scope determine the survey
A clear item list may be enough for a small, straightforward job. More belongings, full packing, specialist items or restricted access can call for a video review or an in-person visit. Floor area helps describe the property, but the contents and work matter too.
Start by sending what you know. Our move-planning team will recommend the right level of review so the estimate reflects the job. You do not need to choose a survey method or work out every measurement before contacting us.
The survey helps us choose staffing, time and preparation for the actual job. The person reviewing your move is not necessarily part of the moving crew.
Include photographs of both entrances and the largest pieces, the inventory, building instructions and proposed truck positions. Say what is confirmed and what depends on someone else's decision. A requested utility date or permit application is not yet confirmation.
For Plan B, name the trigger, decision time and person authorized to approve a change. Confirm a later access window, lawful alternative loading position or actual storage availability before relying on it. Account for extra handling or waiting, temporary arrangements for people and pets, and the condition needed to resume delivery. Bring these questions into the estimate discussion while the alternatives remain available.

How far ahead should I arrange a Traffic Permit?
The public application says it will not accept applications less than two business days before the requested start and prefers submission ten days ahead. Allow time for review and official posting; submitting an application does not guarantee approval.
Are basic furniture assembly and packing materials included?
Basic furniture disassembly and reassembly use your moving labor time without a separate basic assembly fee. Moving blankets, shrink wrap and tape have no separate material charge. Boxes are charged separately. Complex furniture and specialist work receive individual quotes.
Can you unpack boxes and remove the packaging?
Furniture is unwrapped as part of delivery. We can also unpack the contents of boxes as optional work charged for time. Packaging and waste removal are charged separately; include the help you want in your request.
What should I send for an upper-floor apartment?
Send the inventory, unit and entrance details, photographs of the entire route, stair and landing measurements, any lift reservation, building instructions and the proposed lawful truck position.
Can the estimate include an office or staged move?
Describe the shipment, work that must remain available, receiving rooms and each access window. Agree the physical move and separately identify technical shutdown, reconnection and specialist responsibilities.
Is a local hourly estimate a fixed final amount?
The estimate plans the personnel, time and agreed scope. Actual work and approved changes affect an hourly move. For a long-distance flat rate, the agreed shipment and service scope must remain unchanged.
What if the building is not ready on the moving date?
Use a decision time before the alternatives expire. Confirm who authorizes a change, actual storage or later access, extra work and costs, arrangements for people and pets, and the condition that allows delivery to resume.
