Prepare packing before the carrying window
Decide the packing split early. Selected fragile items, the kitchen, a linen cupboard or the whole property can require different amounts of time and materials. If you will pack most items, identify the exceptions so the remaining work is visible in the estimate.
Use small 1.5-cubic-foot Book boxes for books. Medium linen cartons are for lighter belongings such as bedding and towels; filling a larger box with books makes a very different load. Pack one coherent category at a time, protect individual items appropriately and close each carton so it can be handled.
Label the destination room and keep the names consistent with your delivery plan. Mark items that must remain with you. Put keys, personal documents, medicines, chargers and the first evening’s essentials in your own accessible bag, clear of the shipment.

Check the pantry, garage and utility cupboard for items needing separate arrangements. Describe fuels, chemicals, plants, food and other unusual contents to the planning team before packing them; do not assume that being boxed makes an item suitable for transport.

Confirm the whole route through the building
Identify the entrance management wants used, then trace the route from the proposed truck position to the final room. Include the level landing, door swing, elevator, corridor turns, stairs and any shared passage. Send a continuous series of photographs rather than only a close-up of the front door.
For an apartment or condominium, ask about moving hours, elevator reservation, loading access, protective coverings, keys and the person on duty. Get the instructions in writing. A general visitor entrance may differ from the service entrance or the approved route for bulky furniture.
We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.
The agreed plan should identify who submits each request, who approves it and which municipal or building charges apply. An application is one step; the required access and time still need confirmation.
Give management the actual proposed work and ask how the carrying window interacts with other deliveries. Keep fire exits, accessible routes and ordinary residents’ passage clear. Confirm who opens each controlled door and who can resolve a problem during the appointment.

For public space, describe the exact location, vehicle and proposed duration to the responsible authority. South Burlington Public Works lists excess-weight and street/right-of-way application processes, but those pages do not establish a blanket moving-truck reservation. Confirm which instruction applies to your arrangement.
The city’s Highway FAQ lists a winter prohibition on city-street parking from midnight to 8 a.m., December 1 to April 1. Ask Public Works about the street’s ownership and any endpoint-date question. Private streets have their own owner or association rules.
If the desired position cannot be used, review the alternative and carrying distance while there is time to change the plan. Cones or a building reservation alone do not authorize occupation of public space.

Understand the written price and protection
Local moves: estimated hours, not a fixed total
Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.
A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.
Long-distance flat rates: the same scope, the same price
For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.
Read the estimate alongside your inventory and access instructions. Check which preparation happens before moving day, what materials are separate and how an extra pickup or changed delivery affects the scope. Ask about a term you cannot connect to the work you requested.
Choose protection before the move
Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.
For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Our direct long-distance service uses a dedicated truck and the same moving crew at pickup and delivery. For a suitable small shipment, ask about consolidated delivery with a wider agreed receiving window. We serve destinations throughout the United States and Canada. Confirm pickup, delivery and any storage stages in the written move plan. The planning team performs a separate role from the moving crew.
Confirm when an authorized person can receive the shipment and which rooms should be ready first. On arrival, use the same room names as the carton labels and review the important furniture positions before the clear floor fills up.
If closing, a lease handover or construction slips, contact the planning team as soon as the change is known. Agree a decision time, the person authorized to approve changes and whether storage or staged delivery is feasible. Confirm charges and the revised receiving arrangement in writing.
