Let the scope determine the survey
A clear item list may be enough for a small, straightforward job. More belongings, full packing, specialist items or restricted access can call for a video review or an in-person visit. Floor area helps describe the property, but the contents and work matter too.
Start by sending what you know. Our move-planning team will recommend the right level of review so the estimate reflects the job. You do not need to choose a survey method or work out every measurement before contacting us.
The survey helps us choose staffing, time and preparation for the actual job. The person reviewing your move is not necessarily part of the moving crew.
Include photographs of the largest pieces, fragile collections and the carrying route at both ends. Show steps, thresholds, narrow turns, upper floors and the distance between the intended vehicle position and the door. Explain what you will pack and which belongings need our preparation.
For a seasonal home, distinguish the furniture moving now from items remaining for the next visit. Tell us if the receiving address will be unoccupied before delivery and name the person who can check it. The property’s floor area cannot answer whether the contents are ready or the entrance is usable.

Check the route beyond the front door
Walk from the proposed standing place through the door and into the final rooms. Check the door swing, threshold, hallway corners and any stairs. An enclosed porch or side entrance may help only if its width, floor and connection to the house work for the particular piece.
Agree the usable entrance with the owner and send photographs before a difficult item is dispatched. Keep the ordinary walking route and emergency access clear while cartons are staged. An inspection of a furnished room and a plan for passing a large chest through a doorway are different checks.

Agree a standing place and a usable fallback
Identify a private space with permission for the intended vehicle, including entry, standing room and exit. Check surface condition and turning space; a photograph of a driveway does not establish what the vehicle can use. If another car or delivery occupies the space, agree a fallback and explain the resulting carrying distance.
For public space, check signs and ask the appropriate road authority about the proposed vehicle, duration and date. Southold’s Highway Department maintains Town roads and warns that objects and materials must not be placed in the Town-owned right-of-way. This is not a loading reservation. Confirm the road owner and any necessary arrangements rather than putting cartons, cones or furniture out to hold a place.

Tell us which tasks you want completed and which materials you need. Your estimate should distinguish moving labor, boxes, specialist work and removal charges.
Choose full packing, selected rooms or individual fragile items. Keep medicines, documents, keys, chargers and supplies for the first night apart from the main shipment. Label by receiving room and tell the team about books, art and objects needing a different packing method.
Confirm what you will finish yourself and when it will be ready. If the property has a short carrying window, discuss packing before that window rather than assuming all work will fit into it. Tell the team when contents or responsibilities change.

Deliver into a home that can be used
Name the person who will direct delivery and prepare a simple room plan. Keep bedrooms, a bathroom and a basic food area usable while the rest is unpacked. Do not fill the entrance or the route between essential rooms with cartons.
Inspect delivered items with the team, retain the moving documents and use the agreed reporting process if an issue appears. Unwrapping furniture is part of delivery; taking contents out of cartons is optional working time. Decide in advance if you want packaging removed as a separately charged service.

Connect the shipment to confirmed possession
Direct and consolidated long-distance moving
Our direct long-distance service uses a dedicated truck and the same moving crew at pickup and delivery. For a suitable small shipment, ask about consolidated delivery with a wider agreed receiving window. We serve destinations throughout the United States and Canada. Confirm pickup, delivery and any storage stages in the written move plan. The planning team performs a separate role from the moving crew.
A closing appointment, lease start and actual access to the property may happen at different times. Ask the receiving contact to confirm keys, the agreed entrance and a usable standing place before dispatch. Arrange essential heating, lighting and water with the responsible providers.
If the handover slips, tell the planning team promptly. Discuss storage, handling and later delivery as distinct stages and confirm availability and terms in writing. Keep the belongings needed during the gap with you. A tentative appointment does not guarantee the home can receive the shipment.

IT transport and disconnection are available; arrange reconnection and system startup with your IT team. Crane work is outside our service scope.
We can also quote island moves, recycling, move-out cleaning and car shipping. For an island destination, provide the exact address so the vehicle or freight crossing, receiving arrangements and final delivery can be reviewed together.
For a piano, safe, collection or unusually large piece, provide photographs, dimensions, weight if known and the route through both properties. Describe any disconnection, disassembly or installation separately. Have the method reviewed before the affected work begins.
If an island delivery or freight crossing is part of your plan, identify it explicitly with the full final address. A Southold address alone does not establish that a ferry is needed, accepts the selected vehicle or has the right booking and receiving arrangements.

Give the business move an access and receiving plan
We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.
The agreed plan should identify who submits each request, who approves it and which municipal or building charges apply. An application is one step; the required access and time still need confirmation.
For an office, shop or furniture receiving job, agree a work window and name the manager who can approve access and placement. Separate files and equipment that must remain available from the main shipment. Confirm IT shutdown, reconnection and testing with your staff.
Discuss staged work if the business must stay open, and share the property instructions early. Southold’s Building Department handles building permits, inspections and occupancy records; that does not itself grant a moving vehicle a standing place or approve after-hours entry.

Record price and protection choices
Local moves: estimated hours, not a fixed total
Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.
A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.
Long-distance flat rates: the same scope, the same price
For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.
Choose protection before the move
Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.
For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Valuation is the mover’s level of liability; it is different from a separate insurance policy. Review the FMCSA explanation of liability and protection and the terms for your particular move.

Choose how the leftover cartons and contents leave
Southold Town’s Waste Management page says the Town does not provide household garbage collection at the curb. Arrange a private carter or self-haul to the transfer station. Ask about the exact material, volume and current requirements before disposing of move-related waste; a furniture pile is not automatically ordinary bagged garbage.
Company packaging and waste removal is a separate charged service. Include it in the estimate if wanted. Keep unwanted chemicals or other special materials separate and ask the appropriate disposal operator about the acceptable route for those items.

Does a Southold move booking reserve a curb space?
It does not establish a parking reservation. Agree private access with the owner, check signs and contact the responsible road authority for public-space arrangements.
Is Southampton the same destination as Southold?
No. It is our existing regional moving reference on the South Fork. Give the team both actual addresses and identify any proposed crossing so the route and timing can be reviewed.
What is included with basic furniture and protection materials?
Basic furniture disassembly and reassembly use your moving labor time without a separate basic assembly fee. Moving blankets, shrink wrap and tape have no separate material charge. Boxes are charged separately. Complex furniture and specialist work receive individual quotes.
Will the team unpack the cartons and remove packaging?
Furniture is unwrapped as part of delivery. We can also unpack the contents of boxes as optional work charged for time. Packaging and waste removal are charged separately; include the help you want in your request.
Is a local estimate a maximum number of hours?
Most local moves are priced by working time. The estimate helps plan staffing and the day; changes in readiness, access, traffic or inventory can affect the total under the written terms.
What happens when the receiving property is not ready?
Tell the planning team before dispatch. Review storage and later delivery, including handling, availability and revised terms; the truck cannot be assumed to wait indefinitely.
Can seasonal-home belongings be moved in stages?
Describe which items move at each stage and who can receive them. Dates, staffing, storage and the work at each address need agreement in the written plan.
Does Town collection take the remaining moving cartons?
The Town does not provide household curbside garbage or recycling collection. Arrange a private carter or self-haul and check the material and facility rules first.
