Baltimore City and Baltimore County are separate jurisdictions; a Baltimore mailing address alone does not settle which school, collection service or permit office applies. Build the business move around access and continuity

For an office, shop or other business, identify what must remain usable until the move and which items must be available first after delivery. Separate furniture, packed records, staff belongings and equipment by destination. Confirm who authorizes work at each property and who signs off on the receiving layout.

Ask both managers about loading access, approved hours, elevator reservations, security and insurance paperwork. Any building staffing, contractor or union requirement needs its own confirmation. Arrange the people who disconnect and reconnect equipment before the moving date, and distinguish those technical tasks from transport.

Share changes in inventory, destination or access before they disrupt the sequence. A second pickup, extra storage or a revised floor plan can change the labor and handling required. Keep the person responsible for business continuity available when the delivery plan needs a decision.

IT transport and disconnection are available; arrange reconnection and system startup with your IT team. Crane work is outside our service scope.

Measure the complete route through the building

Photograph the curb, sidewalk, stoop, landing and doorway as one connected route. Inside a rowhouse, include stair turns, low ceilings and the approach to the final rooms. A broad front window does not establish that a sofa will pass through the vestibule or turn at the top of the stairs.

For a managed building, record the usable elevator opening, car dimensions, service corridor and dock. Confirm which entrance the crew may use and who opens it. Check every elevator or transfer point on the route, including any shared facility between a garage and the residential floors.

Tell us about fixed rails, gates, uneven pavement and any proposed furniture disassembly. Obtain permission before planning to remove a door or use another entrance. Where the authorized time is short, arrange the materials and permitted preparation beforehand, then keep the actual carrying work inside the approved window.

We can coordinate building COIs, moving-truck permit arrangements, elevator scheduling and moves that require union labor. Send the building instructions and management contact early. We can also arrange materials and packing before the carrying window when the property permits that access.

The agreed plan should identify who submits each request, who approves it and which City or building charges apply. An application is one step; the required access and time still need confirmation.

Arrange the truck space before the moving date

Baltimore City DOT lists moving trucks within its temporary right-of-way permit process. Applications now use OpenGov, and the city states a standard processing time of fifteen days. Allow time for review, any requested changes, payment and the separate sign arrangements; a submitted request is not permission to occupy the space.

Describe the exact curb and dates, the truck and ramp footprint, nearby meters and any effect on the sidewalk, alley or travel lane. Confirm with DOT which permit category and plans the arrangement requires. Keep the street authorization separate from a building's dock or elevator approval.

Before arrival, verify the issued area and hours, how signs are obtained and posted, the required posting lead time and the contact for an occupied space. Walk through each room and agree what you will pack, what the crew will pack and what will travel separately with you. Use compact book cartons for books, keep one packing task organized at a time and identify fragile pieces before the date. Label cartons by the receiving room rather than leaving the crew to infer the new layout.

Keep documents, medicines, chargers and first-night items accessible. Separate anything that should remain at the old property or go to another destination. Discuss unusual dimensions and handling needs before ordering materials or assuming a standard carton will fit.

Connect the estimate to inventory, access and services

Local moves: estimated hours, not a fixed total

Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.

A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.

Long-distance flat rates: the same scope, the same price

For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.

The useful starting point is a complete inventory and a clear description of the route at both properties. Include the number of flights, elevator and dock conditions, carry distance, packing work and any storage or extra stop. Floor area alone does not show how many items need handling or how the work can be staged.

Ask which services and materials are included in the written estimate and which conditions could change the scope. A later possession time, blocked curb or different receiving floor can affect the plan. Send revisions promptly so the coordinator can explain the consequences before the crew relies on the original arrangement.

Keep municipal permit charges, building deposits and any third-party work identifiable. A fee paid to reserve a building facility is not a moving-service charge, and a permit application fee does not settle the final moving cost.

Confirm the documents and delivery sequence

Dedicated long-distance moving

Our dedicated long-distance service uses a dedicated truck and delivery, with the same moving crew at pickup and drop-off. Confirm the pickup, delivery and any storage stages in your move plan. The survey and move-planning team performs a separate role from the crew carrying out the move.

Review the inventory, destinations, packing responsibilities and access instructions together. Keep the issued permit, building confirmation and named contacts available. Identify any work that an owner, manager or specialist must finish before the crew can proceed.

For an interstate move, the FMCSA consumer guide helps you prepare questions about written estimates, shipment documents and responsibilities. Discuss the protection choice before loading and keep the accepted documents with your move-day information. Confirm how a delay or change will be reported and who can authorize a revised arrangement.

Choose protection before the move

Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Tell us about artwork and other high-value items in advance so their declared values and any special requirements can be reviewed.

For interstate household-goods moves, Full Value Protection applies unless you select Released Value through the required written waiver. Valuation is the mover’s level of liability; it is different from a separate insurance policy. Review the FMCSA explanation of liability and protection and the terms for your particular move.

Plan for the date and the route conditions

Combine the possession date with permit processing, the building window and any utility work. Do not assume those deadlines are interchangeable. Keep a workable alternative date or delivery arrangement until the essential permissions and access are confirmed.

Wet marble steps, leaves, snow and refrozen water can change a route that looked straightforward during the survey. Arrange for the property contact to inspect and prepare the approach before arrival. The Baltimore Snow Center says the city does not plow alleys, so an alley-based plan requires a separate readiness check.

Check road restrictions with the moving coordinator when the route crosses the harbor. The MDTA Key Bridge notice identifies the closed crossing and alternative routes; the appropriate route still depends on the vehicle and load. Do not estimate the schedule from a route that assumes the bridge is open.

Use a named contact and an actionable Plan B

Before loading or receiving, confirm possession, the authorized truck space and the actual entrance. Keep shared paths clear and tell the crew which items go to each room. The person who can open the property or approve an alternative should be reachable throughout the relevant window.

If keys are delayed, a lift fails or another vehicle occupies the planned space, contact the moving coordinator and the responsible property or permit contact. Establish the expected resolution time before waiting consumes the remaining building window. Another curb or entrance must be authorized and physically workable.

Review any longer carry, waiting, extra handling or storage with the person who can approve the change and its cost. A storage contact is useful only when space, receiving hours and transport are confirmed. Decide where people will wait and when the move can resume; restart after access and the revised sequence are agreed.

A clear item list may be enough for a small, straightforward job. More belongings, full packing, specialist items or restricted access can call for a video review or an in-person visit. Floor area helps describe the property, but the contents and work matter too.

Start by sending what you know. Our move-planning team will recommend the right level of review so the estimate reflects the job. You do not need to choose a survey method or work out every measurement before contacting us.

The survey helps us choose staffing, time and preparation for the actual job. The person reviewing your move is not necessarily part of the moving crew.
