Keep a business move tied to operating needs

Review the whole carrying route
Photograph the route from the proposed truck position to each receiving room. Include driveway slopes, porch steps, door openings, stair widths, landings and ceiling clearances. Measure large furniture as well as the tightest parts of the route. A house photograph or floor area cannot establish whether a sofa fits.
For an apartment, identify the floor, shared entry, elevator or stairs and the manager who can approve the work. For a house, include attic, basement, garage and outbuilding contents that are part of the shipment. Tell us about low doors, delicate floors and any route that cannot safely carry the load.

Understand the estimate and what can change it
Local moves: estimated hours, not a fixed total
Most local moves are priced by working time. Your estimate sets out the hourly basis, any minimum hours and the work and materials to be charged separately. Estimated hours help us plan the crew and whether the work can fit the proposed day; they are not a maximum charge or a promise that the move will finish within that time.
A move estimated at six hours may take eight if traffic delays the truck, an elevator is shared rather than reserved, packing is unfinished or the inventory or plan changes. Tell us about changes early. If the work needs preparation on another day or a separate delivery stage, we will review those arrangements with you. Charging follows the written terms for the move.
Long-distance flat rates: the same scope, the same price
For a long-distance move quoted at a flat rate, the agreed price stays the same when the shipment and agreed work stay the same. Added belongings, omitted items, extra packing or changed access and delivery requirements can change the scope and price. Keep the inventory, packing responsibilities and pickup and delivery conditions in writing, and have additions reviewed before the affected work begins.
The useful details are the inventory, floors and stairs, carrying distance, loading restrictions, packing scope and delivery stages. Share changes before the affected work begins. A landlord's limited access window or delayed possession can require a different plan even when the shipment stays the same.
Disposal, packaging removal and any additional work need their own agreed scope. A town permit or vendor appointment is separate from the moving estimate.

Our direct long-distance service uses a dedicated truck and the same moving crew at pickup and delivery. For a suitable small shipment, ask about consolidated delivery with a wider agreed receiving window. We serve destinations throughout the United States and Canada. Confirm pickup, delivery and any storage stages in the written move plan. The planning team performs a separate role from the moving crew.
Confirm the written inventory, preparation responsibilities, pickup and delivery addresses, access contacts and timing windows. Keep an accessible copy of the agreement and the details needed if a contact or plan changes. Before the first carry, walk the actual route with the crew lead and confirm room placement.
At delivery, keep receiving rooms and exits clear, identify the items needed first and review the agreed work before closing the day. Report an access change or damage through the process in your moving documents.
Choose protection before the move
Discuss the basic liability option and higher protection available at an additional charge before moving day. Have the selected level, cost, limits and claims process recorded in your moving documents. Ayer's transfer station is for eligible residents with a vehicle permit and posts Wednesday, Saturday and Sunday 7 a.m.–3 p.m. The 2026 permit page describes walk-in, mail/dropbox and online sticker routes; online stickers are mailed. Allow time for the actual permit to arrive rather than treating payment as permission at the gate.
Check bulk-item stickers and the excluded-material list before loading. Mattresses and box springs are not accepted at the station; the town describes a separately booked recycling vendor. The moving company does not inherit resident eligibility. If the property's deadline falls before a confirmed disposal trip or pickup, arrange another authorized option and agree any company removal work separately.

Make the date and weather plan workable
Ask about availability early, especially for summer and dates near the end or beginning of a month. Actual booking and property windows decide your move date. Keep a realistic alternative if possession, weather or access changes; a proposed backup is useful only when its availability and cost are confirmed.
Ayer's snow guidelines say DPW clears sidewalks on major pedestrian routes and owners clear the others. Snow must stay out of the roadway.
