Moving between apartments, arriving from another state and leaving a home before the next one is available create different jobs. The most useful starting point is the full pickup and delivery addresses, a date or realistic date range, and an inventory that includes storage rooms as well as living spaces. A bedroom count gives a rough outline; it does not describe the belongings or the work.

Then identify the condition that controls your schedule. It might be a closing, a lease ending, a booked service elevator or the time someone can release the keys. Explain which parts are fixed and which can move. If access at the destination is unresolved, bring that into the first conversation so the plan can account for it.

A service label becomes useful when it describes who will do each part of the move. You may want transport for already packed belongings, help with a kitchen and fragile pieces, or a broader packing and placement plan. Use the published service pages to identify the work, then have the selected elements recorded in the estimate.

For a more extensive arrangement, review white-glove moving and name the packing, unpacking or placement tasks you want considered. Ask what is included rather than assuming that the label covers every task.

The inventory and access information should tell the same story. A sofa that travels easily from a ground-floor room may need a different handling plan at a destination with tight stair turns. A lightly furnished apartment and one with a large library can share a room count while requiring different preparation.

• List the shipment. Include furniture, approximate carton quantities, basement or attic contents, outdoor items and anything unusually heavy or fragile.
• Show the difficult pieces. Supply measurements and photographs of large furniture, the entry route and any point where the item must turn.
• Describe both properties. Give floors, stair flights, elevator details, the likely carry from the truck and the permitted working hours.
• Separate optional work. Identify packing, materials, disassembly, storage, extra stops and agreed unpacking so they can be compared clearly.
• State the uncertainty. A changing inventory, unconfirmed closing or missing elevator slot should be visible before the plan is finalized.

Ask how the estimate handles changes and which assumptions affect the price. City parking charges, building charges and the moving service are different items; establish who arranges and pays each one. When comparing providers, give them the same inventory and access conditions. A lower figure based on less work does not answer the same question.

Boston housing includes brick rowhouses, older multifamily homes and managed apartment buildings. The important distinction for the move is how the belongings pass through the particular building. Photograph the outside entrance, clear doorway, stairs, landings and final room entrance. Include handrails and turns in the images: a straight doorway measurement alone can miss the limiting point.

For an elevator building, obtain the moving policy from management. It should settle the service entrance, booking period, usable elevator dimensions, loading arrangement and any required insurance documentation. Send the actual instructions to the move planner. A certificate accepted elsewhere does not establish that the next building has approved access.

For a walk-up, identify the number of flights, landings, low overhead points and the location of the largest pieces. Discuss any furniture disassembly before move day, including whether the construction allows it. For either building type, decide how floors, corners and shared areas will be protected while exits remain usable.

A resident parking sticker, an open space outside the door and a reserved moving-truck space are different things. Boston offers a moving-truck reservation process, although a permit is not required for every move. The truck still needs lawful parking for the work. Identify the proposed frontage and the actual vehicle requirements before deciding that the curb arrangement is sufficient.

Agree who will apply if a reservation is needed, who will receive and post the signs, and who will check the space before arrival. This is especially useful when you are coming from out of state and cannot visit the destination yourself. Private building permission also needs its own arrangement; it does not reserve a public street.

Truck routing needs equal attention. State restrictions apply to the river roads commonly used by passenger cars. Let the carrier plan the approach for the actual vehicle; a route that works for the household car may be unsuitable for the shipment.

Make a room-by-room packing plan. Mark each room as household-packed, professionally packed or partly packed, and identify the pieces needing individual review. Kitchens, framed works, lamps and collections often require a more specific plan than the number of cartons suggests. Mention items that remain in use until departure so the preparation schedule is realistic.

Books should travel in manageable book cartons; describe a substantial collection separately. Keep essential medication, identification, keys and the documents needed at the new home with the household. Label cartons by destination room and make items staying behind unmistakable. These decisions help prevent a packed room from becoming ambiguous when several people are working.

For a large framed piece or antique cabinet, provide dimensions, construction details and photographs. Ask what preparation and handling method is proposed, and how existing condition will be recorded. If your homes will not overlap, discuss storage before finalizing delivery. Separate the belongings you may need during the gap. Their access needs can change how the shipment is organized and what you should keep with you.

Early September brings a concentrated lease turnover in parts of Boston. The City publishes moving-season information and temporary neighborhood notices. Use the advisory for the year and date of your move; a past street closure or seasonal exception should not become a permanent assumption.

A useful schedule coordinates the truck, the building and the key handover. Booking one of those does not secure the others. If your lease ends in the morning but the next property opens later, identify the gap and agree how it will be handled. An elevator slot that ends before delivery can be completed is also a scheduling issue to resolve in advance.

In winter, name the person responsible for clearing the path between truck and entrance. Snowbanks, ice and an emergency parking restriction can change a loading plan even when the indoor route is ready. In warm weather, allow for heat-sensitive belongings and make essential drinks and personal supplies accessible.

Before work is scheduled, review the written description of the shipment, included services, price assumptions, pickup and delivery arrangements, and responsibility for permits or building approvals. Ask which company will carry the goods and how any storage or additional handling stage will be documented. Keep the agreed inventory with the paperwork you can reach during the move.

If the inventory or access changes after the estimate, request a review before move day. The written scope should describe the move that will actually take place.

Start with both addresses, your preferred date or date range, the size and contents of the household, and the packing or storage help you want. Add the floor, stairs or elevator, and photographs of the entrances and large pieces. Attach or share building instructions when available, and mention any condition still waiting on a landlord, closing or property manager.
